Job Description: Admin Assistant

Location: Chepstow Garden Centre

Working Pattern: Monday to Friday, 20 hours per week, with flexibility in the distribution of hours to be agreed.

Permanent position

We are looking for an Admin Assistant to join our office. The right candidate will have a good eye for detail, be able to multi-task and have strong problem solving skills. A positive, can-do attitude is important and we are looking for someone who is reliable, hardworking and a team player. We have recently transitioned to a new EPOS system and are looking for someone to join our team as we implement, learn and master it together.

Given the seasonal nature of the business, at busy periods we may request that you work additional hours. Conversely, during quiet periods we may need to reduce your hours. A level of flexibility is therefore necessary with regard to working hours, with reasonable notice.

Main Duties/Tasks:

* Open & distribute company post.
* Reconcile delivered stock records with delivery notes, ensuring accuracy is maintained and liaising with the warehouse on any discrepancies or supplier notifications.
* Match delivery notes to supplier invoices.
* Process invoices ready for payments.
* Investigate variances and take required corrective action.
* Weekly chasing of invoices & delivery notes.
* Ensure all monthly Invoices are processed so they can be paid on time.
* Send credit claims to supplier and resolve any issues. Liaise with Chepstow accounts.
* Provide ad hoc seasonal webshop support by adding products to the website as required.
* Assist the EPOS Supervisor & Head of IT, Web & Marketing on relevant task to keep the Webshop & EPOS system up to date.

Requirements:

* Good standard of Maths, English & Computer literacy
* Proficient in the use of Microsoft word, excel and outlook.
* Inquisitive nature.
* Methodical approach to problem solving.
* EPOS system experience would be an advantage, however training will be provided.

· Flexible with working hours due to the nature of the business

Salary and Company Benefits:

* Starting salary exceeds age related minimum wage up to £12.30 per hour.
* 28 days annual leave including paid Bank Holidays, pro-rata basis for part-time employees.
