The post holds a support secretary role within the Trust, providing an efficient and effective secretarial service for clinical teams across specialties. The role acts as a point of contact and supports colleagues and other team members, upholding the Trust’s values and demonstrating caring, professional conduct towards patients, relatives and carers.
Communication
- Act as a point of contact for patients, clinical and non‑clinical staff via telephone and email
- Escalate patient queries, capacity issues and general matters to line manager or relevant clinical staff as appropriate
Patient Care
- Maintain a caring and professional approach towards patients, relatives and carers, handling distressed situations with resilience
Organising and Planning
- Ensure patient records are up-to-date and maintained
- Carry out associated clerical duties including maintaining accurate filing systems, receiving post, diary management and scanning patient notes when required
Service Development
- Attend training courses as required to support personal development and the needs of the service
- Assist in training new members of the team
Information Resources
- Type, edit and proof‑read clinical letters, general correspondence and reports using the Trust’s clinical noting system, ensuring dispatch within target turnaround times
- Use relevant computer systems to accurately input and retrieve patient information, updating demographics where necessary
Other
- Act with flexibility to utilise skills in other functions if and when appropriate or required by line manager
- Adjust work patterns to meet the needs of the service
