Purpose of the role:
Our client is looking to recruit a full-time Data Entry/Administrator. This person will form part of the Fixed Price Team and will be based at Blantyre.
Job purpose:
Maintaining and updating the Excel Database used for recording Fixed Price “Spin-off” quotations.
Raise work orders on internal CAFM system, Corrigo and allocate them to either in-house engineers or sub-contractors for completion.
Compilation of Quotations derived from Subcontractors recommended remedial work.
Review and update client portals with the status of outstanding quotes and orders.
Filing of quotes within our internal SharePoint system.
Following up outstanding quotations by communicating with clients, consultants etc with a view to advising our clients on works that need to be carried out and allow them to maximise our “quote to order” ratio.
Accurately input and update data in Computer-Aided Facilities Management (CAFM) systems (e.g., Concept, Planon, CAFAM, Maximo).
Record details of reactive and planned maintenance jobs, including job creation, updates, completions, and closures.
Maintain asset registers and update equipment data following maintenance visits or site changes.
Input and track contractor timesheets, job costs, and invoicing details as required.
Provide general administrative support to the FM team, including document filing, scanning, photocopying, and printing.
Assist in the preparation of reports, performance dashboards, and compliance documentation.
Maintain shared mailboxes and respond to basic queries or escalate to relevant departments.
Support scheduling of appointments, maintenance visits, and inspections.
Salary & Benefits: Salary £26,000
Hours of Work Mon-Fri 9am to 5pm (35 hours per week)
Annual Leave 21 days plus 8 Statutory (Public / Bank) holidays
