Job Description
This is a temporary contract for maternity leave cover, full-time role, within the Life Sciences team.
You'll support the production teams across the events within the portfolio, contributing to the overall effectiveness of the production team. This includes various projects throughout the production lifecycle, managing processes like credits, speaker coordination, and database management.
You'll provide administrative support to the production team, keeping all event documentation updated (speaker database/conference agenda) and ensuring platforms (web) are up to date. You'll also liaise with the marketing and operations teams to ensure appropriate processing of credits.
You'll manage the conference Master Data Sheet, including all live and on-demand content.
This role is ideal for someone proactive, highly organized, outgoing, professional, with excellent communication skills, and interested in providing excellent customer service while building a career in events.
Job Function
Add the agenda to our CORE website, including all confirmed speakers (50%).
Follow up with all confirmed speakers, confirm their details for the Speaker Database, and add all information to word schematics, speaker database, and CORE website. This includes collating and adding direct contact info to the database, bios, and photos to the CORE website, and updating speakers or talks as needed. (10%)
Ensure word schematic, speaker database, Master Data Sheet, and CORE website are aligned and fully complete. Keep all key documents and the website up to date in the run-up to the event, including changes, amendments, cancellations, and new updates (including those confirmed via SpEx). Keep other event stakeholders updated on these changes. (30%)
Proofread the agenda in the final event guide to ensure it aligns with both CORE and the event app. (10%)
Key Metrics
Ensure all event materials are synchronized and up to date.
Attend some events and play a key role in the onsite delivery team.
Gain an understanding of what's needed for a conference producer role.
Manage the online presence for the conference by uploading content (speaker pictures, bios, etc.) to the website.
Manage all other key conference materials, including word schematics, speaker databases, and pre-event preparation documents.
Work to deadlines, collaborating with all major stakeholders to ensure all information is received and online in line with marketing timelines.
Additional Requirements
This role involves traveling with the team to events (US and global) and assisting onsite for multiple events per year. You'll also work in the office up to two days per week.
Qualifications
Excellent communication skills, creative, customer-focused, and able to work well to deadlines within a team structure.
Strong attention to detail and the ability to build relationships with speakers.
Responds effectively and delivers excellent customer service consistently, looking for opportunities to improve customer experience and maintaining high quality in all interactions.
Highly organized, with the ability to manage time effectively and juggle numerous tasks at once.
A good team player who can also work under their own initiative.
A drive to improve current processes and develop creative solutions within the Life Sciences team.
IT literate, proficient in Microsoft Office (Word, Excel, PowerPoint), and willing to be trained on internal website and app platforms.
Liaise cross-functionally on the conference credit program to ensure attendees receive necessary information and the company stays current with credit associations.
Works closely with other groups in the company to assist in production-related projects and processes as needed.
Prior experience in a support/administration role within a fast-paced, high-volume environment.
Proven experience working in a client-based environment with excellent verbal and written communication skills.
A team player with a "can-do" attitude who is eager to learn and grow within the Informa family.
Strong proficiency with MS Office products (Word, Excel, PowerPoint).
