Facilities Help Coordinator Location: Hybrid (Theale office – minimum 2 days per week) Salary: £32,000 per annum Hours: 8:00am – 5:00pm (1-hour lunch) flexibility required Holiday: 25 days bank holidays About the Role We’re looking for a highly organised and proactive Facilities Help Coordinator to be the first point of contact for all property and maintenance requests across our nursery estate. You’ll be at the heart of ensuring our environments are safe, compliant, and running smoothly every day. What You’ll Be Doing Facilities Helpdesk & Coordination Manage incoming maintenance requests, logging and prioritising tasks Assign jobs to internal teams and external contractors Keep nursery managers updated with clear and timely communication Maintenance & Compliance Coordinate reactive and planned maintenance (PPM) Track statutory inspections and ensure compliance standards are met Maintain accurate records and asset registers Health, Safety & Safeguarding Ensure contractor compliance (RAMS, DBS, ID checks) Monitor key areas such as water hygiene and escalate issues Support compliance with Ofsted, EYFS and H&S standards Procurement & Contractor Management Obtain quotes, raise purchase orders and track spend Build and maintain strong contractor relationships Systems & Reporting Maintain CAFM systems and data accuracy Produce regular reports on activity and performance Projects & Emergencies Support small works and refurbishment projects Coordinate urgent responses when issues arise What We’re Looking For Essential: Experience coordinating facilities or maintenance across multiple sites Strong organisational skills with the ability to prioritise workloads Confident communicator with a customer-focused approach Experience working with contractors and managing requests end-to-end Comfortable using systems (CAFM, MS Office, reporting tools) GCSEs (or equivalent) including English and Maths Full UK driving licence Desirable: Experience in childcare, education, or regulated environments IOSH / NEBOSH or similar health & safety qualifications Knowledge of compliance areas such as Legionella or asbestos Experience with CAFM systems and reporting he Old Station Nursery is committed to safeguarding and promoting the welfare of children, and we expect all applicants to share this commitment.
