Junior Admin Assistant – Leeds Private Hospital

Full-Time | 37.5 Hours | Private Healthcare | Leeds

We are now seeking an ambitious, and organised Junior Admin Assistant to join our professional team. This role is perfect for a young individual looking to build a strong career foundation in healthcare administration, patient coordination, and front-of-house operations.

Role Overview

As a Junior Admin Assistant, you will support the smooth running of day-to-day hospital operations. You will be one of the first points of contact for our patients, ensuring they receive a warm, welcoming, and luxurious experience from the moment they arrive.

Key ResponsibilitiesFront of House & Patient Experience

* Warmly greet patients, visitors, consultants, and clinical staff
* Maintain a calm, polished, professional presence at reception
* Prepare refreshments (tea, coffee, water) with 5-star presentation
* Maintain the reception and waiting areas to a luxury standard at all times
* Ensure patients feel comfortable, supported, and looked after

Administrative Duties

* Managing and responding to emails with impeccable grammar and professionalism
* Handling incoming calls and directing enquiries politely and efficiently
* Supporting with appointment scheduling, calendar management, and clinic preparation
* Organising patient files, paperwork, consent forms, and documentation
* Carrying out scanning, photocopying, filing, and general admin tasks
* Assisting with the preparation of patient information packs
* Liaising between departments to support smooth workflow

Operational Support

* Ensuring office supplies (forms, stationery, refreshments) are fully stocked
* Supporting theatre days with documentation and prep materials
* Maintaining confidentiality and following compliance and safety protocols
* Helping with delivery checks, room preparation, and stock organisation
* Assisting management with ad-hoc tasks and project support

Skills, Qualities & RequirementsEssential

* Excellent communication skills — confident, articulate, polite
* Strong computer literacy (Microsoft Office, email, typing ability)
* Extremely organised with strong attention to detail
* Smart, elegant, and professional appearance (strict dress code)
* Ability to multitask and work in a fast-paced environment
* Positive attitude, willingness to learn, and strong work ethic
* Friendly, warm, and patient-focused

Desirable

* Prior office, admin, customer service, or reception experience
* Experience in a professional or clinical environment
* Interest in healthcare, aesthetics, or patient care
