Overview
We are a nationwide organisation with over 30,000 members across the UK seeking an Events Administrator to join our existing team at our Head Office in Farnham. The role is to assist with the administration of a variety of events that take place across the UK. The successful candidate will report to the Events Manager and liaise with internal departments and external third parties. The role suits candidates with experience in busy administration who want to develop a career in events-based admin support. Strong organisational skills, the ability to prioritise workload, keen attention to detail, accuracy, and the ability to work under pressure are essential. You should be confident, have good communication skills, and enjoy liaising with a range of contacts to ensure accurate and timely administration of the department workload.
Paying up to £28k, the working hours are 37.5 hours per week, Monday to Friday, with the potential for up to two days per week of remote working once training is complete. Benefits include free parking, 22 days holiday plus bank holidays and Christmas shutdown, a pension, and a friendly and professional working environment. It is essential you drive and own a car as attendance at some events may be required.
Responsibilities
* Responsible for the events inbox, and handling general customer service inquiries related to Events.
* First line response to performance requests from outside organisations.
* Prepare performance information for members, ensuring all relevant details are available. This includes uploading performance letters and other requested documents to the members area and editing performance letters for the Leaders when needed.
* Publish calendar entries.
* Attend some events, as necessary, to support Leaders and members.
* Support other members of the Events team with administrative tasks, including creating member or Leader communications, creating Google sign-up forms, and taking minutes during events meetings.
* Update the in-house online shop as needed for ticket sales.
* Follow correct procedures and GDPR guidelines at all times.
* Assist with sourcing and booking events within leaderless areas.
* Help provide new Leaders training on how to use Event systems.
* Oversee National Workshop events: set up tickets on the shop, report sales to Leaders and the accounts team, send communications, create a timeline, and keep all departments updated.
* Oversee marketing requirements, including Leader requests for banners/flyers and team requests for lanyards/resources; liaise with external suppliers and the in-house social media team.
Qualifications
* Car driver with access to a car; experience in a busy administration environment and able to manage own workload.
* Experience in events is welcome but not essential.
* Exceptional attention to detail and accuracy with excellent communication skills (phone, email, in person).
* Strong team player with the ability to work collaboratively.
