We are looking to recruit three reliable, enthusiastic and organised individuals to join our outstanding Trust as postal despatch coordinators. This is an excellent opportunity for anyone wishing to start a career in an administrative role within the NHS. We have three full time positions available, fixed term for a period of six months. Full training and support will be provided to the successful candidates.

The post holder(s) will work within the Trust's Administration Team providing essential support in the delivery of clinical correspondence whilst procurement is underway for a new electronic patient healthcare communication system.

Post holders are to be adaptable to future changes in the scope of their role and to be receptive and support of changes in processes and systems as the Trust communication systems develop over this period.

Ensuring all letters are distributed via post or email.

Ensure printers are consistently fully loaded with paper and supplies are ordered.

Whilst printing, ensure the printer is always monitored and no correspondence left unattended.

Ensure all envelopes are sealed and sort into appropriate posting trays before dispatching to post room.

L iaise with IT and ensure prompt resolution to any problems with machinery

Ensure that stationery stock levels are always maintained.

Accurate recording of any internal or external post sent to the admissions department

Any other duties required to support the patient pathway coordinators sending communication out.

Patient experience

Ensure prompt despatch of clinical correspondence in line with the departmental KPIS.

Escalating issues to the Operational Support Manager

Maintaining the confidentiality of patient information at all times

Team working

Coordinate cover of duties across both Divisions during periods of holiday and / or sickness .

Completing administrative tasks maintaining high standards.

Communication

Responding to queries in a professional manner.

Use initiative when dealing with enquiries, escalating as appropriate.

Providing information to staff in other departments

Escalating issues to the Patient Pathway Co-ordinators as appropriate

Policy & Service Development

* Being aware of and adhering to administrative procedures and protocols relevant to the post.
* Observing the provisions of and adhering to all Trust policies and procedures
* Required to comment on, implement and adhere to secretarial / administrative procedures and protocols.

Data Management

Recording all information as required on PAS including amendments

Quality

Training

Attending mandatory training in accordance with Trust policy

Participating in in-house training and updating of skills as required

Demonstrating on going learning and development related to the role

General Statements

Attending team meetings where required

Maintaining confidentiality and abide by the Data Protection Act.

Being familiar with and following health and safety policy and procedures and to be aware of individual responsibilities under legislation, drawing any areas of potential risk to the attention of managers

Ensuring completion of timely PDR/Appraisal process with designated line manager

Being able to demonstrate Trust values and behaviours (outlined in staff handbook) at all times

Undertaking any other duties which are deemed appropriate to the band

The above indicates the main duties of the post which may be reviewed in the light of experience and development within the service. Any review will be undertaken in conjunction with the postholder.
