The successful candidate will play a key role in ensuring the smooth coordination of clinics, procedures, and patient pathways while acting as an important point of contact for patients and healthcare organisations. The role also offers opportunities to work with modern digital and AI-enabled administrative tools to improve workflow efficiency and patient communication.
Key Responsibilities
* Manage and coordinate a complex and fast-paced clinical diary, including clinics, theatre lists, meetings, and administrative commitments
* Act as a first point of contact for patients, handling enquiries with empathy, professionalism, and efficiency
* Liaise with hospitals, GP practices, insurance companies, and other healthcare organisations to coordinate appointments, investigations, and procedures
* Prepare clinic lists, organise patient documentation, and ensure records are accurate and up to date
* Handle correspondence including letters, emails, and reports in a timely and confidential manner
* Support the surgeon and wider team with general administrative tasks
* Assist with patient pathway coordination to ensure a smooth and positive patient experience
* Maintain confidentiality and comply with data protection standards
* Support the adoption and effective use of digital systems and AI-supported tools to enhance administrative efficiency and workflow management
Person Specification
Essential Skills & Qualities
* Highly organised with strong time-management and prioritisation skills
* Excellent verbal and written communication skills, with the ability to interact confidently with patients and professionals
* A dynamic and proactive attitude, with the ability to work both independently and as part of a team
* Strong administrative experience and good attention to detail
* Comfortable managing and adapting to busy and changing schedules
* Professional, calm, and approachable manner
* Good IT skills (e.g. Microsoft Office, email systems, scheduling software)
* A willingness and enthusiasm to learn and work with AI-enabled tools and digital technologies to improve efficiency and service delivery
Desirable (but not essential)
* Previous experience in a medical, clinical, or healthcare administrative environment
* Experience working with consultants or within private practice
* Understanding of medical terminology
* Experience using practice management systems or workflow automation tools
