The Role

We’re looking for a proactive and highly organised Executive Assistant to support senior executives in Tinopolis Group, in particular:

* CEO, Tinopolis Unscripted (Mentorn Media & Firecracker Films)
* CEO, Tinopolis Group (and Group Board Members as required)

There will be ad hoc support for the CEOs and senior management teams of other Tinopolis companies:

* Pioneer Film & TV Productions
* Passion Distribution
* Sunset & Vine Productions


Key Responsibilities

* Manage several busy diaries, in line with the individual preferences of stakeholders. Proactively manage complex schedules.
* Schedule meetings & conference calls (across time-zones), making arrangements as necessary: sending invites, prepping agendas, sorting room bookings & hospitality and taking minutes.
* Arrange international & domestic travel, including flights (and visas if necessary), trains, taxis and accommodation. Produce detailed itineraries for executives.
* As required, act as a primary point of contact for internal and external stakeholders, screening calls and emails, and drafting correspondence. Liaise with colleagues, clients and business guests.
* Produce presentation decks, reports, briefing papers, spreadsheets and other documents as needed. Conduct background research to provide insights and support decision-making.
* Event planning & coordination: organise internal and external events for the companies and their partners and clients, including seminars, corporate events, social gatherings and training.
* Deliver project support: assist with or manage key projects and initiatives, ensuring timelines and milestones are met.
* Maintain office systems and update files/records as necessary; compile expenses and process claims; liaise with suppliers and the Group’s Accounts team.
* Develop effective working relationships with contacts across all Group companies and at other locations - and work closely with the Group’s support functions: Accounts, IT and HR/Payroll.


Person Specification

* Demonstrable experience supporting executives in similar roles & sectors e.g. creative, media, production and broadcast.
* Experience handling shifting diaries across multiple stakeholders; able to manage multiple tasks, prioritise effectively and organise complex schedules and events.
* Excellent communication skills (verbal and written) for liaising with internal & external stakeholders. Positive & approachable, with a friendly attitude and professional work ethic.
* Proactive and resourceful in identifying issues and finding effective solutions. Flexible with the ability to handle changing priorities and unexpected situations with poise.
* Demonstrates attention to detail and accuracy: meticulous in tasks to prevent errors and ensure high-quality output.
* Discreet, tactful and confidential; handles sensitive information with trust and integrity.
* Experienced in: Arranging detailed travel plans and handling logistics; Planning and coordinating meetings, events, and other activities; Managing multiple projects simultaneously.
* Advanced user of Microsoft 365: Outlook, Word, Excel, PowerPoint.


Further Information

* Permanent role, based in Hammersmith, London W6
* We anticipate a hybrid working arrangement, with four days per week in the office and one at home. The role may involve occasional weekend and unsociable hours
