Reporting to the PMO Manager, the role of the Assurance Analyst is to support the Compliance function by applying governance to processes and procedures and contribute to the continual improvement of the business. The Assurance Analyst will be responsible for the successful management and improvements of the Corporate Risk Register (RAID), the management of the QMS (ISO9001) and supporting the PMO.
The Assurance Analyst will also be required to develop effective relationships with stakeholders across the business to deliver on objectives.
Operational Governance
* Drive awareness and adoption of the governance process
* Review and propose improvement to operational governance processes and tools
* Management and updating of RAID log, including collaborating and coordinating the development and implementation of risk / issue mitigation action plans
* Help identify and manage risks and issues
* Bring stakeholders together, to ensure risks, issues and dependencies are being actively managed and mitigated across the business
* Provision of monthly RAID business intelligence for Head of Compliance and wider stakeholder consumption
* Ensure the Delivery Framework is being followed
* Capture and circulate minutes for the following meetings and ensure progression of actions
* Weekly Project Review Boards (PRB)
* Weekly Pipeline meetings
* Quarterly Sales meetings
* XLT meetings
* Internal Systems Governance Board
* Proposition Development Board
* Supporting the Heads of Practice on the continual improvement, adoption and instilling the correct behaviours for:
* Timesheet and DPU completion
* Project Deliverable sign off process
* Project Closure process
* The Delivery Framework
* Ensure CPS maintain Microsoft Solution Partner Designations by keeping functional owners accountable for:
* Certifications
* Updating Partner Portal
* Ensuring objectives are being met in agreed timeframes
QMS
* Management and continual improvement of the QMS (Quality Management System)
* Raise awareness of the QMS to the business and provide regular training and updates using corporate communication channels
* Hold Process owners to account for maintenance and adoption of Operational processes and procedures
* Creation and maintenance of operational library
* Carry out internal audits to ensure the business is confirming to the ISO9001 standard
* Ensure all non-conformances are:
* Tracked with the RAID log
* Associated remediation plans
* Resolved within a timely manner
* Maintain ISO9001 certification by ensuring successful completion of the external surveillance audit
PMO Support
* Governance of projects including expenses and budgets
* Dynamics CRM Administration
* Project Online Administration
* Opportunity verification and closure
* CRM Training
* CRM/PWA Pipeline alignment
* Internal Process Ownership
* Weekly meetings with Sales to understand pipelines and upcoming resource demands
* Resource management and delivery
* Using Power BI to deliver reports to Senior Management
* Risk and Issue Management
* Stakeholder management
* Compliance issue reporting and escalation
Cadence
* RAID Log review meeting to ensure teams are on target:
* Weekly LT sync – 2 days in advance
* Monthly Leadership meeting – 1 week in advance
* Quarterly XLT meeting – 2 weeks in advance
* Monthly status review with Head of Compliance
* RAID Log
* High risk items
* Non-conformance
* Current status of Microsoft Solution Partner Designations
* Mid-month PMO KPI day
* Ensure mandatory processes are being followed to keep compliance score above 95%
* Generic/named work forecast is accurate and timely
* Billing Period (1st two working days of the month)
* Assist in processing monthly billing cycle
Requirements
* Undergraduate degree
* Good grounding in project management
* Proactively takes ownership of project planning, working with other internal teams from requirements through to initial support post-handover to BAU
* Good analytical and presentation skills to assimilate large quantities of data and present in a meaningful format for easy consumption
* Strong organisation skills, astute attention to detail and the ability to work accurately across multiple deliverables in parallel
* A natural problem solver and adept at multitasking
* Natural ability to integrate well into a team and build relationships well with senior stakeholders
* First class communicator at different levels e.g. peers, client, suppliers and C-level
* Develop competences and expertise in both self and others in order to gain a satisfactory standard and deliver results within agreed timescales.
* Develop a team atmosphere through hard work, calmness, tolerance and consistency, attempting to fulfil work projects with honesty and integrity.
