Facilities and Reprographics Supervisor

In this role, the Facilities and Reprographics Supervisor will be based at their brand new London office and will be responsible for supervising the daily functions of the Office Services department, including facilities, health and safety, mail room and reprographics.
Facilities and Reprographics Supervisor Key Responsibilities:
* Act as the primary point of contact with building management, including engineering, mailroom, and security staff
* Oversee the maintenance and upkeep of the office premises, including office spaces, conference rooms, kitchens, and common areas
* Coordinate and oversee repairs, maintenance, and service contracts for building systems and equipment and arranging for specialist maintenance as required
* Monitor and enforce health & safety standards in accordance with UK regulations and conduct regular safety inspections and identify potential hazards
* Complete Fire / Health & Safety Risk Assessments and attend landlord / tenant meetings
* Supervise the Office Services function, including reprographics, binding, mail and food delivery, mail processing, courier services and copy functions
* Coordinate shift activities, workflow, and daily functions of the team to always ensure consistent coverage
* Monitor travel alerts and keep the office up to date on travel disruptions
* Conduct Health & Safety / office tour orientations for new joiners
* Oversee First Aiders and Fire Marshals, arranging training as required
* Act as Head Fire Marshal for the London office
Facilities and Reprographics Supervisor Skills & Requirements:
* Minimum of 5 years’ experience as a Team Leader / Supervisor in Facilities / Office Services in a law firm
* Proven experience in reprographics (copy, scan and print requests, e-bibles, binding, and mail services) in a legal setting
* Working knowledge and experience of Health & Safety standards and regulations in the workplace
* Willingness to occasionally work outside of core hours to coordinate with vendors / oversee repairs or maintenance carried out outside standard office times
