Job Responsibilities
The post holder will provide a comprehensive and high‑quality secretarial and administrative support to the Consultant, doctors and other professionals within a specific department in the Paediatric directorate. The post holder will be expected to liaise in a professional manner with colleagues, visitors and parents/guardians and undertake a wide spectrum of administrative and secretarial duties.
* Plan own day to day tasks and duties.
* Undertake routine typing and audio typing of clinical correspondence.
* Manage Consultant’s diaries and/or Doctor’s diaries.
* Prioritise results and organise clinical activity.
* Liaise with parents/guardians, General Practitioners and other Health Boards/Trusts to arrange ongoing treatment and care.
* Play a supportive role with the running of the acute paediatric team.
* Anticipate problems on any urgent issues recognised within the department and take necessary action to solve these problems using their own initiative.
* Communicate with clinicians, nurses, managers, administrative staff, relatives, General Practitioners, Representatives and other Health Boards/Trusts.
* Act as the first point of contact for the Consultant’s and Doctor’s.
* Deal with parents/guardians, relatives and members of the public as they arrive at outpatients, taking appropriate action, using tact and sensitivity and maintaining strict confidentiality.
Welsh language skills
This post is advertised as Welsh Desirable. This does not mean the skill is essential; while the candidate does not need to have Welsh skills, it will be considered an advantage when short‑listing and selecting candidates. It is not “fluency”, just speaking & listening skills at Level 3 (equivalent to CEFR B2) or above. Level 3 means basic conversations with patients about their everyday health.
