Medical Secretary - Chelmsford

This role requires a team‑player, flexible and highly organised medical secretary who can work well under pressure and demonstrates exceptional communication skills. The primary contact point for patients, doctors and staff, the role supports the Consultant and the clinical team across a range of administrative and secretarial duties.
Main Duties
* Develop productive working relationships with the clinical team and maintain professional standards of service provision.
* Provide efficient, high‑quality administrative and secretarial support, including maintaining office cover and assisting with team workloads.
* Produce and manage documents such as clinic letters, discharge summaries, reports, correspondence, minutes and presentations using audio, shorthand or typed skills.
* Process and prioritise patient case notes and ongoing care plans, ensuring timely completion of standard and supplementary letters.
* Arrange follow‑up appointments, referrals and crisis services when required, ensuring accurate and timely communication with patients, relatives, and other professionals.
* Maintain confidentiality, manage electronic patient records, and perform data entry and updates for clinical information.
* Coordinate diagnostic investigations, ordering appointments and ensuring results are conveyed to the Consultant promptly.
* Provide diary management, meeting coordination, room and hospitality arrangements, and circulate agendas.
* Assist with training programmes, conferences, research or service‑development work as needed.
* Act as minute secretary at meetings, record new referrals, process leave applications and submit invoices for Consultant expenses.
* Handle post, email and telephone enquiries, draft responses, and coordinate the filing and records system.
* Support new staff, trainees and temporary members through induction, provide template letters and activity schedules.
* Maintain office supplies, equipment, and report technical issues to IT.
* Identify and report health and safety concerns, and comply with GDPR and related policies.
* Support performance indicators and equal‑opportunity provisions within the Trust.
Person Specification
Education
* Good general education with maths and English to GCSE standard or equivalent.
* NVQ Level 3 business administration or equivalent experience.
* Recognised medical secretary qualification (AMSPAR).
Experience
* Previous experience in an administrative/secretarial environment.
* Experience working within the NHS.
* Experience with clinical systems.
* Evidence of audio typing and minute‑taking skills.
