Headteacher’s Personal Assistant
Permanent | Full-Time (Term time + additional weeks, or all year round) 8:00am – 5:00pm

Responsibilities
Managing Enquiries & Communications
* Be the warm, professional first point of contact for staff, parents, governors and visitors.
* Handle calls, inboxes and face-to-face enquiries efficiently and with sensitivity.
* Oversee visitor procedures, ensuring robust safeguarding.
* Manage confidential correspondence with absolute discretion.
* Work closely with the Clerk to Governors to coordinate meetings, panels and documentation.
Diary, Admin & Daily Operations
* Take full ownership of the Headteacher’s diary — scheduling, preparing briefings and ensuring everything runs like clockwork.
* Maintain accurate digital and manual records following compliance guidelines.
* Update work-in-progress files and track all follow-up actions.
* Manage the central school calendar, coordinate events and attend site meetings to support logistics.
* Produce high-quality reports, documents and minutes.
* Support key administrative processes including:
o Bursary applications
o Staff leavers
o Pupils transferring to other schools
o Staff appraisals and probation cycles
Office Management & Leadership
* Ensure the school office runs smoothly, professionally and efficiently.
* Create a welcoming reception environment.
* Provide reception cover when required.
* Manage hospitality for meetings and events.
* Oversee post distribution and office supplies budgets.
* Support pupil record keeping and parent communications.
* Maintain office security and access control.
* Manage pupil allergy information and issue allergy discs.
* Ensure telephones are staffed from 8am–5pm daily.
* Ensure all documents, letters and publications are accurate and up to date.
Team Leadership
* Line manage administrative staff, including the Receptionist.
* Lead appraisals, development and performance support.
* Foster a positive, solutions-focused office culture.
Emergency Responsibilities
* Stay calm and effective during emergencies.
* Provide accurate details to emergency services when required.
* Ensure staff lists and registers reach assembly points if an evacuation occurs.
What We’re Looking For
Qualifications
* GCSE English & Maths (Grade C/4+).
* NVQ Level 3 in Business Administration (desirable).
Experience
* Senior-level admin/PA experience.
* Experience handling confidential information.
* Line management experience.
* School experience (desirable).
* First aid training (provided if needed).
Skills
* Excellent written and verbal communication.
* Strong organisation and prioritisation skills.
* High attention to detail.
* Confident IT user (Word, Excel, MIS).
* Understanding of GDPR, safeguarding and regulatory frameworks (desirable).
