Duties (not exhaustive)

* Day-to-day management of the allocated property portfolio – taking a proactive approach to management while being reactive to matters that may arise
* Work with the wider management teams and onsite staff to ensure an exceptional level of customer service is provided to all stakeholders and onsite standards are upheld
* Carry out regular site inspections
* Report regularly to external clients and/or leaseholder groups
* Attend leaseholder / client meetings where required and ensure regular engagement with leaseholders, residents and clients, e.g. newsletters and bulletins
* Manage all repairs, planned maintenance and follow through on cyclical plans
* Appoint external contractors via Purchase Orders to manage repairs and upkeep standards, establishing and maintaining relationships as required
* Manage critical incidents efficiently, ensuring all key stakeholders are informed throughout
* Prepare Service Charge Budgets
* Maintain awareness of financial performance for each property in the portfolio, managing the budget and cashflow accordingly
* Conduct quarterly financial reviews with the accounts team and carry out a final review before the sign off of Service Charge Accounts
* Regularly review the portfolio purchase ledger, approving invoices to ensure timely payments
* Consult with the Credit Control Team regularly to monitor and manage debtor levels
* Ensure compliance and building safety is upheld for the assigned portfolio, in synergy with the Compliance Team
* Take responsibility for any complaints received, ensuring the internal procedure is adhered to at all times
* Assist with any legal enquiries, specifically relating to the sale of properties
* Meet all assigned deadlines consistently, delegating responsibilities / projects where required
* Line management of Estates Assistant & Maintenance Co-Ordinator ensuring regular 121s are conducted and support is provided
* Work with senior management to integrate management systems
* Assist the senior management team in managing and monitoring performance of the rest of the Estates management team, attending team meetings as required
* Promote and contribute to the Company culture and values


Experience & Qualifications

* Several years’ experience in Block Management
* Experience working with on-site teams, managing staff, workloads and projects
* Experience in Major Works, Section 20 consultations and Fire Safety Works
* Experience of chairing AGMs, client / leaseholder / residents meetings and surgeries
* Ability to prepare service charge budgets and regular reporting
* TPI Member, ideally ATPI or MTPI level with knowledge of TPI guidelines and requirements
* Knowledge of Landlord & Tenant Act, The Building Safety Act, Fire Safety Order and other standard leasehold legislation
* Excellent relationship building and communication skills at all levels
* Knowledge of Property Management Systems such as Qube or Dwellant
* Ideally but not essential, experience of managing others
