Job Description – Logistics Coordinator (Operations)
Role Overview
The Logistics Coordinator – Operations will play a key role in supporting day-to-day operational activities across Insignia’s port agency and freight forwarding divisions. The role involves coordinating vessel husbandry services, ensuring smooth vessel turnaround, and managing logistics for cargo, crew, and ship supplies. The ideal candidate will be organised, proactive, and comfortable working in a fast-paced maritime environment.

Key Responsibilities
Port Agency & Vessel Operations
\t•\tCoordinate operational requirements for visiting vessels (tankers, bulk carriers, LNG, navy ships, yachts).
\t•\tAssist with pre-arrival documentation, port forms, berthing arrangements, and inward/outward clearance.
\t•\tLiaise with port authorities, terminal operators, pilots, tug services, and other stakeholders.
\t•\tSupport Owners Protective Agency matters where required.
Husbandry & Marine Services
\t•\tArrange crew changes, medical assistance, store deliveries, and transportation.
\t•\tCoordinate Ship Spares in Transit and Ship Supply deliveries.
\t•\tOrganise stevedoring and cargo services for wet and dry bulk operations.
Freight Forwarding Coordination
\t•\tSupport multimodal shipments (Air, Sea, and Land) for clients and vessels.
\t•\tPrepare shipping documents, track cargo, coordinate customs clearance, and liaise with carriers.
Offshore & Oil & Gas Support
\t•\tAssist in logistics planning for offshore supply operations, including equipment dispatch and vessel support.
Administrative & Operational Support
\t•\tMaintain accurate records of vessel operations and service costs.
\t•\tPrepare operational reports, cost estimates, and invoices.
\t•\tEnsure timely communication with principals, agents, and suppliers.
\t•\tUphold company standards for compliance, safety, and customer service.

Required Skills & Experience
\t•\tExperience in shipping, port agency, freight forwarding, or maritime operations (preferred but not essential).
\t•\tStrong coordination and communication skills.
\t•\tAbility to work under pressure and manage multiple tasks.
\t•\tGood understanding of logistics and supply chain processes.
\t•\tCompetent in MS Office and operational software (training provided).
\t•\tAttention to detail and strong problem-solving abilities.
\t•\tMust be able to work outside normal hours when required during vessel operations.

Salary Range
£28,000 – £35,000 per annum, depending on:
\t•\tExperience in maritime operations
\t•\tPrevious port agency or freight forwarding background
\t•\tAbility to manage vessels independently
\t•\tOut-of-hours availability for vessel calls
