Unique is a charity that supports families affected by rare chromosome and gene disorders. We provide accurate and accessible information to empower those looking for answers. Alongside this, we act as a facilitator, helping people connect with each other to share their experiences of rare gene and chromosome disorders. We are looking for a reliable and well-organised Administrative Assistant to help keep things running smoothly behind the scenes. As well as providing PA assistance to our CEO, youll also support day-to-day operations, help coordinate events and meetings, book travel, manage records, and be a key part of our small but passionate team. This is a great opportunity to contribute to a cause you care about while developing your admin skills in a meaningful role. This is a hybrid role which includes working in our office in Oxted each week in order to build relationships with our small, friendly team. The role is 14 hours per week, negotiable working pattern and you will report to the CEO & Finance/Operations Manager. Key Responsibilities Assisting the CEO and other staff with diary management, travel bookings and emails Answering emails and phone enquiries in a friendly and professional manner Helping to maintaining and update members details in the Unique database Printing, scanning and filing documents Managing and posting out Unique merchandise orders Organising meetings, taking minutes and distributing relevant documents Helping coordinate events, family days, conferences, webinars etc Managing office supplies and coordinating small purchases Ensuring confidentiality and data protection policies are followed Person Specification Essential qualities, skills and experience Good organisational and time management skills Friendly and approachable with great communication skills Confident using email, Microsoft Office etc Comfortable working independently and as part of a small team A flexible, can-do attitude willing to help out where needed Passion for charity or community work Desirable qualities, skills and experience Experience of working in the area of disability/genetics Experience of working in the charity/voluntary sector Experience in admin is helpful but not essential were happy to provide training Additional Details This role may occasionally require evening or weekend availability and travel for events (time off in lieu is provided) A DBS check will be carried out prior to joining Flexible hours and hybrid working options can be discussed How to Apply Closing date 27th June 2025 Your cover letter should explain why you are interested in this post and what makes you ideally suited for the role.
