Provide support to Retail Divisional Directors based in the field. This involves managing a wide variety of activities such as administration, organisation and strategic tasks, to ensure the Retail Divisional Directors can focus on their key responsibilities. This role will involve the handling of tasks for senior stakeholders simultaneously.

Responsibilities
Diary & Calendar Management:
* Coordinate diaries, prioritise appointments, calendar requests and handle last minute changes.
* Organise meetings, calls and travel itineraries ensuring efficient use of time.
* Ensure time sensitive and or critical reminders are communicated to Retail Directors and their direct reports.
Travel coordination
* Book and arrange travel for both Retail Directors, this includes flights, accommodation, trains and overseas travel for store visits, meetings and internal / external events.
* Prepare travel itineraries, including confirmations, any meeting material required and contact information for both Retail Directors.
* Schedule, arrange and manage internal and external event requirements. This includes off site meetings, dinner reservations, team building events, development days.
Communication:
* Serve as the first point of contact, screening emails and correspondence on behalf of both Retail Directors.
* Draft and or respond to internal and external communications.
* Assist with the management of emails for both Retail Directors.
* Organise and set up regular team meetings, teams calls, performance reviews.
Meeting Preparation and support
* Pro-active administration of meeting actions and deadlines.
* Prioritise tasks/actions ensuring that important deadlines are met.
* Prepare agendas, take meeting notes, track and follow up actions to completion.
* Flexibility to attend off site meetings and occasional site visit, sometimes at short notice.
Task Coordination
* Assist Retail Directors with any project tasks and key initiatives, ensuring deadlines are met
* Process and manage IT requests for the Retail Directors
* Process and manage annual leave for the Retail Directors and their direct reports.
* Support and assist Retail Directors with any Company Car queries
* Assist with any other ad-hoc duties as required.
* Create documents and presentations using Microsoft 365 as required.
* Provide assistance to the Heads of Stores as required
Administration and Ops Support
* Process invoices, obtain approvals for authorising company-wide invoices.
* Collate and process expenses and receipts for any purchases throughout the month.
* Support people related tasks such as scheduling interviews, on boarding new area managers
* Create induction plans for newly recruited Regional and Area Manager's, schedule induction meetings and workshops with key stakeholders
* Collate daily, weekly mileage logs to enable monthly submission in line with company process and procedure
Stake Holder Management
* Act as a key point of contact for the Retail Directors, liaise with Heads of Stores and Area Managers.
* Contact Branch Managers when and if required
* Communicate with Senior Managers, other Board members or key stakeholders across Screwfix and Kingfisher where required.
* Collaborate with other PAs/colleagues responsible for Directors /D'Of
Maintain high levels of confidentiality and discretion regarding sensitive information at all times
Qualifications
* Competent use of Microsoft teams and all 365 applications
* Excellent Organisation Skills with the ability to manage priorities and task for two senior leaders
* Strong Communication, clear, professional and proactive in both written and verbal communication
* Flexibility and Adaptability- capable of adjusting to changing priorities and managing unexpected task
