Purpose of the Role
To provide efficient, accurate, and proactive administrative support for The Orchard's alternative provision and accredited equine education programmes. The role ensures compliance with awarding body standards, safeguarding frameworks, and local authority requirements, while enabling smooth day-to-day operation of the provision.
Key Responsibilities
1. Learner Administration
2. Maintain accurate learner records, files, and registers.
3. Process enrolments, consent forms, and learner agreements.
4. Track attendance, punctuality, and progress (daily & weekly).
5. Prepare learner progress reports for parents, schools, and Local Authorities (LAs).
6. Awarding Body & Compliance
7. Register learners with awarding bodies (City & Guilds, coaching qualifications, etc.).
8. Support assessors with portfolio tracking, assignment submissions, and evidence logs.
9. Maintain IQA/assessor sampling records, assessment tracking sheets, and standardisation meeting notes.
10. Ensure policies (safeguarding, health & safety, complaints, GDPR) are up to date and documented.
11. Prepare files for inspections, audits, and quality visits.
12. Safeguarding & SEND Support
13. Keep safeguarding logs up to date and confidential.
14. Record SEND/behaviour support strategies for learners.
15. Ensure staff training records (DBS, safeguarding, first aid) are current.
16. Finance & Funding Support
17. Assist with LA/EOTAS contracts, invoicing paperwork, and funding claims.
18. Log learner hours for billing purposes.
19. Track grant funding paperwork for Reins & Roots CIC (where relevant).
20. General Administration
21. Be first point of contact for parent/school/LA enquiries.
22. Manage staff timetables and daily schedules.
23. Prepare welcome packs, induction forms, and certificates.
24. Support with marketing/admin for events, open days, and Ofsted visits.
Person Specification
Essential:
* Strong organisational skills with attention to detail.
* Experience in education/training administration OR willingness to learn quickly.
* Proficient with MS Office/Google Workspace (Excel, Word, Docs, Sheets).
* Able to handle confidential data (GDPR compliance).
* Excellent written and verbal communication skills.
Desirable:
* Knowledge of City & Guilds or vocational awarding body processes.
* Experience with safeguarding/education compliance.
* Background in FE/alternative provision or equine/land-based training sector.
