Role Overview
We are seeking a proactive and detail-oriented Sales Administrator to support our internal sales function within a busy manufacturing environment.
This role is pivotal in ensuring:
* Customer orders are processed accurately and efficiently
* Account queries are resolved promptly
* Quotations are actively followed up to drive conversion
* Communication between Sales, Finance, Production and Customers runs smoothly
The successful candidate will act as a key link between customers, BDMs, accounts and production to ensure an excellent end-to-end customer experience.
Key Responsibilities
Order Processing
* Accurately process sales orders via ERP/CRM system (e.g. Sage / D365)
* Verify pricing, delivery dates and product specifications before release
* Liaise with Production/Planning to confirm achievable delivery schedules
* Monitor order book to ensure on-time delivery
Account Queries & Credit Support
* Act as first point of contact for customer account queries
* Investigate pricing discrepancies, invoice queries and POD requests
* Support resolution of disputes to maintain strong customer relationships
Quote Management & Follow-Up
* Log and manage customer quotations within CRM system
* Proactively follow up outstanding quotations
* Track quote-to-order conversion rates
* Escalate high-value or time-sensitive quotes to BDMs
* Update CRM notes to ensure full visibility across the team
Customer Service
* Handle inbound calls and emails professionally and efficiently
* Provide updates on order status, manufacturing progress and delivery
* Support customers with product enquiries (training provided)
Internal Communication
Work closely with:
* Business Development Managers
* Production / Engineering
* Finance / Credit Control
* Purchasing
* Flag potential delays or commercial risks early
* Maintain accurate CRM records
Key Performance Indicators (KPIs)
* Quote follow-up within 48 hours
* Quote-to-order conversion improvement
* Order accuracy rate
* Reduction in aged account queries
* Customer response time targets
* Contribution to sales growth
Skills & Experience Required
* Previous experience in a sales support, order processing or internal sales role
* Experience within a manufacturing, engineering or industrial environment desirable
* Strong administrative and organisational skills
* Confident using ERP/CRM systems
* Excellent communication skills (written and verbal)
* Commercial awareness
* High attention to detail
* Ability to prioritise workload in a fast-paced environment
