Overview
Contract: 11 months, Fixed term (maternity cover), 37.5 hours per week. Annual Leave: 25 days pro rata per year plus Bank Holidays. Reporting to: CEO. In this role, you will be responsible for the organisational development of our charity through WeMatter, leading recruitment and delivering our staff development, training, and welfare support programme. You will drive a culture of continuous improvement for the professional development of staff, and the development and quality assurance of our youth programmes. You will play a key role in ensuring that WeMindTheGap’s strategic aims and values are brought to life, developing an approach for a positive, sustainable and healthy working environment which enables us to best support our Gappies.
Key Responsibilities
* Lead the development of the WeMatter programme across all WeMindTheGap communities, fulfilling plans for delivery of staff training, recruitment, and welfare support.
* Lead partnership management by liaising with internal and external contacts, including fostering a network of training providers.
* Attend external events and activities on behalf of WeMindTheGap, including networking meetings within your community, employment support workshops and national conferences.
* Develop training opportunities for existing staff and streamline onboarding processes for new employees.
* Lead yearly reviews of our youth programmes, fostering a culture of continuous improvement and quality assurance that informs key changes to the next cycles of delivery.
* Manage key programme events, coordinating effectively and timely with internal and external partners.
* Plan and deliver mandatory training and onboarding packages for all WeMindTheGap staff, volunteers, and interns.
* Support staff in resolving on-day issues with operational processes and systems, problem-solving with creative solutions.
* Be responsible for upholding safety procedures, including risk assessments and safeguarding measures for any WeMatter events.
* Lead on the financial management of WeMatter, including the creation of an annual delivery budget.
* Host quarterly ‘WeMatter Days’ to promote staff wellbeing, deliver training or communicate important organisational updates.
* Oversee all recruitment processes, including coordinating the shortlisting of candidates, and hosting recruitment days.
Team Support
* Confidently support all WeMindTheGap delivery teams, upholding role modelling expectations and a healthy working culture.
* Provide staff training on internal organisational systems, including BreatheHR and Moodle.
* Coordinate ‘Thinking Spaces’ with team managers, strengthening our Plan, Do, Review approach to our work and future aspirations for self-development.
* Manage the onboarding and training of new staff and encourage the continued professional development of existing team members.
* Coordinate staff welfare support through the existing but emerging model of group coaching supervision.
* Work alongside the SLT to plan the annual cycles of delivery in accordance with WeMindTheGap's longer-term strategic plan.
* Implement and uphold partnership protocols with external contacts.
* Write quarterly board report covering essential updates on programme delivery, staffing, and other important organisational aspects.
* Be the overall internal lead for the charity's Policies & Procedures alongside external HR support.
* Attend regular strategic and operational meetings with the SLT.
Administrative
* Ensure internal systems are kept up to date with staff information and organised in an efficient and compliant manner in partnership with the Admin & Finance Manager.
* Oversee sensitive data entry, ensuring that details are safe and secure in line with GDPR.
* Work alongside our Impact & Evaluation team in reviewing our programmes annually, creating a robust evaluation and improvement plan in line with the overall strategy of WeMindTheGap.
Other
* Create and share promotional materials, including regular social media posts across all WeMindTheGap channels.
* Qualification in operational management, human resources, learning and development, or equivalent experience at a level appropriate to this position – essential
