Required Skills and Experience
* 3+ years of experience in Project Management Officer or Project Support roles
* Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
* Adaptability to fast-paced, changing environments
* Strong interpersonal and communication skills
* Demonstrated initiative with a focus on delivery and results
* Familiarity with key Agile frameworks
* Understanding of various business functions
* Excellent stakeholder management skills, including senior-level engagement
* Minimum of 5 GCSEs at grade C or above (including Maths and English)
Desirable Skills and Experience
* Prince2 Foundation certification
* Experience working on cloud-based projects
* Ability to produce both detailed documentation and high-level executive summaries
* Understanding of project delivery and governance frameworks
* Proficiency in Microsoft Project, Visio, and SharePoint
* Experience in Financial Services or other regulated industries
* Previous IT administration experience
Key Role Responsibilities:
Governance
* Adhere to established Project Management Methodology
* Ensure compliance with audit and regulatory policies
* Draft and format project documentation using standard templates
* Promote adherence to project management standards and support IT team training
* Conduct quality checks across project processes
* Manage IT reporting for Central ITPP, Notable, CIO, and Clarity
Portfolio and Capacity Planning
* Maintain accuracy of IT Portfolio and capacity plans; identify gaps and risks
* Collaborate with Head of IT Governance and support ADM delivery teams and PMOs
* Organize and support monthly portfolio governance and investment board meetings
* Prepare recommendations, briefings, and management reports
* Collate stakeholder inputs and produce meeting packs and minutes
Project Support
* Assist in scheduling and organizing meetings
* Create agendas and take accurate meeting notes; distribute promptly
* Update policy documents for IT and project functions
* Liaise with Heads of Department to fulfill requests
* Prepare status, specialist, and exception reports
* Review and approve work packages throughout the project lifecycle
* Provide decision-making support to designated managers
* Coordinate ADM team timesheets across multiple contracts
* Manage PO approvals for contract staff
* Distribute weekly news briefs to Project Management teams
* Guide IT teams on correct usage of third-party project management systems
Stakeholder Management and Communication
* Engage cross-departmental staff to achieve shared goals
* Identify key stakeholders and manage expectations effectively
* Adapt communication approach to evolving circumstances
* Communicate clearly with internal and external stakeholders at all levels
* Stay informed on strategic initiatives and company-wide communications
