Practice managers are vital to the successful running of GP surgeries. You'll manage the business and operational aspects of the surgery, making sure that patients are at the centre.

A general practice (GP) surgery is a patient's first and most frequent point of contact with the NHS and you'll be responsible for its smooth running.

To manage and coordinate all aspects of organisationfunctionality, motivating and managing staff, optimising efficiency andfinancial performance, ensuring the organisation achieves its long-termstrategic objectives in a safe and effective working environment.

Through innovative ways of working, lead theteam in promoting ED&I (Equality, Diversity and Inclusion), SHEF (Safety, Health, Environment and Fire), quality and continuous improvement,confidentiality, collaborative working, service delivery, learning anddevelopment and ensure the organisation complies with UK legislation and bothNHS and CQC regulations.


Main duties of the job

* business planning
* handling financial systems for the practice, including payroll
* selecting, training and supervising non-clinical staff
* developing and supervising appointment systems that work well for patients and clinicians
* ensuring accurate records are kept, and liaising with local health organisations
* developing strategies for the practice on issues such as computer systems and security, expanding or changing services, and long-term services

Job responsibilities

The following are the core responsibilities of this role. Theremay be, on occasion, a requirement to carry out other tasks. This will bedependent upon factors such as workload and staffing levels.

ThePractice Manager is responsible for:

a. Overseeing the day-to-day operations ofthe organisation, ensuring staff achieve their primary responsibilities

b. Functional management of all clinicaland administrative staff

c. Direct line management of the followingstaff: Administration Manager, Dispensary Manager, Practice Nurses and salariedGPs

d. Managing the recruitment and retentionof staff; developing, implementing and embedding an effective succession plan

e. Key liaison with Primary Care Networkand the PCN Manager

f. Ensuring that all staff undertake arobust induction process, including staff employed via ARRS

g. Establishing, reviewing and regularlyupdating job descriptions and person specifications, ensuring all staff arelegally and gainfully employed

h. Implementing and embedding an effectivestaff appraisal process

i. Implementing effective systems for theresolution of disciplinary and grievance issues

j. Maintaining an effective overview of andensuring compliance with HR legislation

k. Ensuring all staff have the appropriatelevel of training to enable them to carry out their individual roles andresponsibilities effectively

l. Managing the financial elements of the organisation,including budgets, bank accounts, accounting systems, petty cash, etc. seekingto maximise income and reduce expenditure in conjunction with the partners

m. Maintaining an effective liaison withthe accountant, overseeing organisation accounts, ensuring year-end figures arepresented

n. Briefing partners on all financial matters,including forecasting

o. Managing and processing partnersdrawings, PAYE and pensions for practice staff

p. Ensuring the organisation hasappropriate insurance cover

q. Developing, implementing and embeddingan efficient business resilience plan (BRP)

r. Managing contracts for services, i.e.,cleaning, gardening, etc.

s. Managing the procurement of organisationequipment, supplies and services

t. Coordinating the reviewing and updatingof all organisation policies and procedures

u. Leading change and continuousimprovement initiatives; coordinating all projects within the organisation

v. Coordinating and leading the compilationof organisation reports and the practice development plan (PDP)

w. Ensuring the team reaches QOF targets

x. Adopting a strategic approach to themanagement of all patient services matters

y. Developing, implementing and embeddingan effective communication strategy (internal and external)

z. Ensuring the organisation maintainscompliance with its NHS contractual obligations

aa. Actively encouraging and promoting theuse of patient online services

bb. Publishing communications for internaland external use such as an organisation newsletter on a quarterly basis

cc. Maintaining the organisation and NHSchoices websites

dd. Liaising at external meetings asrequired

ee. Marketing the practice appropriately

ff. Management of the Patient ParticipationGroup

gg. Effectively managing all complaints inline with current legislation and guidance

e. The management of the premises,including leading on health and safety aspects such as risk assessments andmandatory training

hh. Managing the organisation IT system,delegating staff to act as administrators

ii. Ensuring compliance with IT security andIG

jj. Coordinating the organisation diary,ensuring meetings are scheduled appropriately

* Experience of working in a healthcare setting
* Experience of managing large multidisciplinary teams
* Experience of performance management including appraisal writing, staff development and disciplinary procedures
* Experience of successfully developing and implementing projects
* Experience of workforce planning, forecasting and development
* NHS/primary care general practice experience
* Relevant health and safety experience
