Job Title

Personal Assistant to the Executive Leadership Team


Job Summary

The role is accountable for providing professional secretarial support to the Executive Leadership Team, directly supporting the Deputy Chief Executive and the Vice Principal – Student Participation and Development. The role includes the management of multiple diaries, correspondence and information systems, and the servicing of complex meetings to deliver a high quality, flexible and consistent service. The post‑holder will be expected to operate proactively with a high degree of efficiency and attention to detail.


Key Responsibilities

* Contribute fully to the mission and values statement of the College ensuring its effective implementation in all aspects of College life
* Contribute to the College strategic objectives and actively engage in the annual review
* Provide a high level of confidential administrative support to the Executive Leadership Team
* Manage and co‑ordinate multiple diaries, supporting related logistics
* Support the management of complex and confidential correspondence and associated actions
* Receive and respond appropriately to enquiries from both internal and external stakeholders, providing a confidential, courteous and effective service
* Communicate and liaise with internal and external stakeholders, developing relationships with key individuals and organisations
* Provide administrative support in the organisation and delivery of complex meetings, including the preparation, collation and distribution of agendas, minutes, supporting documentation and resulting actions
* Develop, manage and implement information tracking systems within the Executive Management Team
* Apply a good knowledge of operating systems and processes to prepare documentation and integrate information from multiple college information sources
* Support the management of audit recommendation tracking and updates of the risk register
* Contribute to the coordination of the evening rota, liaising with team members to address availability and cover requirements
* Perform straightforward interpretation and analysis of data or calculations, presenting findings accurately
* Plan and prioritise own work activities, responding to college requirements in addition to your own responsibilities
* Ensure the accuracy and confidentiality of information held within the role
* To support cross‑college activities as required, particularly the key enrolment and invigilation periods
* Carry out any other relevant and appropriate duties as determined by the needs of the service and level of the grade


Skills, Knowledge and Expertise


Essential Criteria

* Successful experience of working in a support role at this level or similar
* Ability to manage complex diaries to meet conflicting deadlines and priorities
* Excellent communication and relationship management skills
* Excellent computer literacy – ability to use current IT programmes of the college
* Experience of maintaining accurate and comprehensive records
* Experience of implementing and developing effective administrative systems
* Ability to organise and administer complex meetings, producing agendas, taking minutes and tracking associated actions
* High level of discretion and diplomacy
* English qualification at level 2 or higher
* Mathematics qualification at level 2 or higher


Desirable Criteria

* Experience of identifying areas for change and improvement
