JOB TITLE: Logistics and Sales Administrator
Opportunity for an organised and flexible administrator to join a growing global business in Essex.
Purpose of the Post:
To be responsible for all aspects of logistics and sales administration.
First point of contact with key customers and ANZCO NZ for order management, shipping details, and information requests.
To support the Logistics Manager, Commercial Manager, and General Manager by handling logistics and sales data management, freeing them to focus on strategic and revenue-generating activities.
To ensure accuracy of sales and logistics information in customer and ANZCO software systems.
Cover for the Logistics Manager during holidays and travel.
Contribute as an active member of the small team.
Duties and Tasks
Logistics Administration
* Verify importation documentation accuracy and liaise with ANZCO NZ for corrections.
* Request PINs and coordinate bookings with hauliers.
* Send loadout and weekly shipment reports to customers and handle customer inquiries.
* Update logistics logs with ETAs and dispatch details.
* Support the Logistics Manager when needed.
* Manage orders between ANZCO NZ/Itoham Japan and customers for regular programs.
* Input sales data into ANZCO systems and confirm details with customers.
* Handle customer-specific sales administration tasks.
* Manage important documents like specs, certifications, trace requests, and industry data reports.
* Oversee customer purchasing and supply chain systems.
* Create and distribute stock availability sheets to the sales team.
* Coordinate onboarding of new customers and related documentation.
General Administration
* Manage the office landline communications.
* Handle packing and couriering of product samples.
* Manage holiday schedules, office supplies, and expense records.
* Potentially oversee some smaller customer accounts if interested.
Additional Duties
* Perform any other reasonable duties as assigned by the General Manager, Logistics Manager, or Commercial Manager within your capabilities.
Person Specification
The ideal candidate should be self-motivated, enthusiastic, highly organized, and detail-oriented. Ability to work independently, with strong administrative skills, and to adapt to a small team environment is essential.
Experience (Essential or Desirable)
* Knowledge of the industry and current practices (Desirable)
* Experience in logistics or sales administration (Essential)
* Experience in sales (Desirable)
* Proficiency in Microsoft Word, Excel, and Outlook (Essential)
* Ability to prioritize and meet strict deadlines (Essential)

Conditions:
Hours: 24 hours per week (3 days), with flexible hours and days.
