As an Assistant Facilities Manager at JLL, you will report to the Facilities Manager and manage a range of soft services on the Amazon account dedicated team. Your role will support the efficient operation of the site, coordinate vendors, maintain health & safety standards, and assist with travel, events and food services.
Responsibilities
* Manage a team to provide first‑line soft services including reception, mail operations, meetings & events, cleaning, waste & recycling, vending & food services.
* Monitor and maintain office equipment and supplies and coordinate with vendors regarding issues and cost estimates.
* Conduct weekly walk‑rounds with the vendor cleaning manager to ensure cleaning quality standards are met.
* Process Trouble Ticket (Remedy) requests through the helpdesk interface with internal customers and action queries promptly in line with SLA.
* Manage daily health & safety issues, maintain scheduled meetings and records of fire and safety teams, drills, equipment and training.
* Provide travel & visitor support, interface with approved hotels, and assist Client global travel & hotel managers.
* Assist in organizing internal and external Client events, managing conferencing facilities.
* Manage food and kitchen facilities, supervise housekeepers, raise purchase orders, update Wiki pages and communication channels.
Qualifications
* Experience in a Facilities/Office Services Coordinator role or high‑profile corporate environment.
* Previous reception or hospitality experience and diploma/degree level education.
* Strong problem‑solving and decision‑making skills for operational management.
* Excellent written and verbal communication skills, proficiency in spreadsheets and word processing.
* Customer‑focused approach, interpersonal skills, assertiveness and attention to detail.
* Knowledge of soft services management (reception, mail, meetings, cleaning, recycling).
* Experience with office equipment monitoring, vendor contact and meeting coordination.
* Knowledge of Trouble Ticket (Remedy) management and service level agreements.
* Experience with health & safety management, fire drill coordination, equipment and training records.
* Knowledge of travel & visitor support, hotel interfaces, and assistance to travel managers.
* Knowledge of internal & external client event organization and conferencing facilities.
* Background in food & kitchen facilities management, purchase order handling, and housekeeper supervision.
* Experience with Wiki pages and communication channel management.
* Understanding of Building Operations Engineer/Facilities Manager deputising duties for operational continuity.
* Experience in Amazon account environments, dedicated team collaboration, integrated facility management business line operations.
