We are seeking a highly organised and proactive Executive Assistant to provideprehensive support to two senior directors within a diverse and forward-thinking organisation. Your new role
As an Executive Assistant, your role will involve the following:
1. Executive Support
1. Provide full administrative support to two senior directors.
2. Manage diaries, schedule meetings, and maintain task lists.
3. Organise and maintain accurate digital filing systems (SharePoint).
4. Handle confidential correspondence and documentation.
2. Meeting Coordination
5. Attend key meetings, take accurate minutes, and distribute actions.
6. Prepare agendas, reports, and meeting packs.
7. Ensure meeting rooms are prepared and cleared.
3. HR & Staff Administration
8. Maintain HR records and assist with staff-related processes.
9. Manage holiday and absence data.
10. Update staff handbook and roles/responsibilities documentation.
4. Office Management
11. Oversee day-to-day office operations and maintain a professional environment.
12. Liaise with external service providers (cleaning, supplies).
13. Manage access permissions for digital platforms.
5. Event & Marketing Support
14. Coordinate internal events and team meetings.
15. Liaise with marketing partners for promotional materials and campaigns.
16. Assist with social media and PR activities.
6. External Liaison
17. Act as a point of contact for local stakeholders andmunity engagement.
18. Managemunications with external partners and service providers.
7.pliance
19. Oversee Know Your Customer (KYC) processes and ensurepliance with relevant regulations.
What you'll need to succeed
20. Proven experience as a Executive Assistant or in a similar administrative role.
21. Excellent organisational and time-management skills.
22. Strong written and verbalmunication abilities.
23. High IT literacy (Microsoft Office Suite, SharePoint, Teams).
24. Ability to take accurate minutes and manage confidential information.
25. Familiarity with HR processes and social media management.
26. Professional, adaptable, and proactive approach.
