The organization operates 805 long-term care beds and 308 seniors’ apartment units, with an additional 224 long-term care beds opening in a new home by June 2026. In addition, Yee Hong offers four campuses of managed care, a hospice residence, and a wide range of community-based senior and caregiver support services. Through this comprehensive network, the organization serves more than 15,000 individuals annually across the Greater Toronto Area.**Core Function:**Under the direction of the Executive Director, the Divisional Support provides a range of administrative and operational support to ensure smooth day-to-day functioning across multiple program sites. The role assists with scheduling, correspondence, documentation, and tracking divisional initiatives, while also helping to coordinate communication among internal teams and external partners. The individual contributes to divisional activities and events, helping to promote programs and initiatives that align with the organization’s strategic direction.**Qualifications:*** Post-secondary education in administration, communications, or a related field.* Minimum 4 years administrative or marketing experience.* Demonstrated initiative in handling and resolving client questions and requests, using sound judgment and solid problem-solving skills* Excellent presentation and communication skills.* Proficiency in MS Office; experience with social media and marketing tools is an asset. Knowledge of Chinese word processing an asset.* Resilient, flexible and adaptable to change.* Ability to build relationships and work collaboratively across sites and with diverse teams* Ability to communicate effectively in English and Chinese.* Satisfactory recent Vulnerable Sector Screen result**Duties and Responsibilities:*** Support the Executive Director in coordinating and preparing strategic planning activities and meetings* Consolidates performance indicators for regular review and tracking of progress on strategic goals* Provide divisional support to the Executive Director and the divisional team including scheduling, correspondence, records management, and meeting coordination.* Support financial administration, including processing invoices, expense claims, petty cash, and deposits.* Compile and submit divisional reports and maintain staff training records.* Coordinate onboarding and orientation for new hires across all sites.* Manage divisional communications: prepare promotional materials, coordinate social media content and maintain a calendar of marketing activities* Organize and support divisional events and community engagement activities* Maintain inventory and oversee office supply orders across multiple sites.* Act as the IAR liaison and HPG liaison for the division, ensuring accurate and timely communication with these systems and partners.* Other duties as required**Posting End Date:**2025-11-16**Starting Rate:**$24.42**Salary Range:**$24.42 - $28.74**INTERNAL APPLICANTS: PLEASE APPLY THROUGH THE JOBS HUB**Our people are our greatest strength and the core of our success.
