Role Overview

We’re looking for a collaborative and solutions-driven Group AV Operations Manager to help shape and support our operational infrastructure across all departments. This role will enhance how we plan, coordinate, and deliver projects ensuring our teams, freelancers, suppliers and facilities are aligned to meet growing demand and evolving client expectations.


You’ll work closely with account managers, studio managers and department heads to strengthen workflows, support resource planning and ensure our operational systems continue to scale with the business. The role is ideal for someone who enjoys enabling creative teams, refining processes, and building strong relationships across a fast-paced production environment.


The Goal:

Take Ambien’s productions to the next level, deliver operational excellence that allows the team to thrive and drives business efficiency and profitability.


Key Responsibilities

* Workforce & Resource Coordination: Support the planning and coordination of freelance and full-time resources across AV, exhibitions, LED, and studio teams
* Maintain: Grow a trusted network of freelance talent, ensuring availability and alignment with project needs
* Collaborate: Working closely with Account Managers and the wider team, forecast & secure resource requirements and manage bookings smoothly
* Process: Ensure onboarding, documentation, and compliance processes are clear and consistent


Operational Support & Systems

* Help refine and document key workflows across departments to support consistency and clarity
* Assist with scheduling, logistics, and coordination of equipment and crew across multiple sites
* Work with internal teams to improve visibility of resource availability, timelines, and project milestones
* Support the implementation of tools and systems that make day-to-day operations more intuitive and connected


Facilities & Logistics

* Liaise with studio and warehouse teams to ensure facilities & resources are well-maintained and ready for upcoming projects
* Coordinate transport and logistics planning to support timely, efficient project delivery whilst also ensuring our team is able to expand and contract during peak and off-peak seasons.
* Help plan equipment movement, storage, and readiness across locations


Team Experience & Collaboration

* Foster strong working relationships across departments, freelancers, and suppliers
* Support a positive team culture by helping teams stay informed, prepared, and supported
* Contribute to internal communications and feedback loops that help teams share insights and improve together


Quality & Delivery Support

* Assist in capturing feedback from projects to help inform future planning and delivery
* Support the development of simple checklists and guides that help teams deliver consistently high standards
* Help ensure health & safety practices are upheld across all operational touch points


Success Measures

* Smooth coordination of resources across departments
* High freelancer engagement and availability
* Clear and consistent operational workflows
* Positive feedback from internal teams and project leads
* Well-maintained facilities and timely logistics support
* Strong collaboration across departments and suppliers



Initial Priorities

* Get to know our teams, freelancers, and operational systems
* Support immediate resource planning and project coordination
* Help improve visibility of bookings and availability across departments
* Contribute to internal feedback and planning sessions
* Begin documenting workflows and identifying areas for alignment
* As your influence in the business takes shape and milestones are met, clear guidance will be given on the next key priorities to focus on.


Reporting & Structure

* Reports to: Company Directors as part of the Senior Management Team
* Collaborates with: Account Managers, Studio Manager, Warehouse Leads, Department Heads
* Location: London HQ with regular site visits
