We have a great opportunity within our in house Recruitment Teams.

The Recruitment Assistant will work as part of the Recruitment Team and wider Peoples Service Team, providing administrative support to Agenda for Change recruitment processes across the organisation. As a Recruitment Assistant, you will play a vital role in the recruitment process, helping us to engage, and onboard the best candidates for various roles across the Trust. This is a fantastic opportunity for someone looking to develop their career in Human Resources within the healthcare sector.

We are a supportive and forward-thinking recruitment team, committed to delivering a high-quality recruitment and onboarding service to candidates and hiring managers in a busy and demanding environment.

You should possess excellent computer skills, including a working knowledge of Microsoft Office packages, i.e. Outlook, Excel, Word & MS Teams; be able to demonstrate excellent communication skills; the ability to complete tasks & show attention to detail.

You will have a positive can-do attitude with a desire for problem solving and will be proud of the service that you deliver. Previous recruitment experience is not required as we offer training and offer hybrid working once the training period is completed successfully.

Main duties of the job

The Recruitment Assistant is responsible for administering the Recruitment process, Honorary Contracts, reference requests and Work Experience and will actively engage with Recruitment Officers to support the full end-to-end recruitment cycle (from vacancy creation to on-boarding) for vacancies across the Trust.

To receive all initial contacts to the Recruitment department via phone and e-mail, ensuring that these are dealt with in a timely, accurate and professionally customer focused manner or passed to the most appropriate team member.

Ensure the delivery of an excellent recruitment service to managers, staff and applicants through provision of administrative and advisory support throughout the recruitment process.

It is important for the Recruitment Assistant to develop and maintain positive working relationships with Recruiting Managers in order to provide a client centred Recruitment Service. The Recruitment Assistant will provide advice to recruiting managers in order to ensure their recruitment is processed efficiently and in line Trust Policies and procedures, and with legislation and best practice.

Working together, the Recruitment Officers and the Assistants will maintain a green dashboard within the TRAC Recruitment Management system each day.

The fundamental aim of all post holders in the Team is to ‘get the basics right’.

Detailed job description and main responsibilities

§ Administration of the recruitment process using the TRAC Recruitment Management system, for all Agenda for Change staff groups.

§ Work in accordance with UKVI, Employment Law and Equality and Diversity legislation, NHS Employment Check Standards, Recruitment & Selection Policy, Standard Operating Procedures and best practice requirements.

§ Apply thorough attention to detail to ensure that all documentation relating to Recruitment is accurate and of a high quality and recorded and retained on TRAC.

§ To undertake recruitment activity as required by the needs of the service.

§ Participate in learning and development relevant to the delivery of the job role including internal/external training courses, employment law seminars etc

§ Maintain compliance with mandatory training policy.

§ Actively participate in Performance Development Reviews.

§ Prioritise own workload to ensure that objectives are met, elevate issues to the Recruitment Team Leader or Recruitment Manager.

§ Audit procedures and practices within the Recruitment Team and recommend improvements.

§ To review applicant files to ensure all pre-employment standards are met.

§ Record renewed Right to Work checks in ESR.


Person specification


Qualifications

* Educated to GCSE level in Maths and English at grade C or above or equivalent
* Customer care or business administration NVQ level 3


Experience

* Working in a pressurised environment, responding to numerous daily deadlines and ever changing priorities
* Experience of office procedures/equipment
* Experience of working within Recruitment


Skills

* Able to demonstrate good interpersonal skills – to communicate with a range of health service professionals of all levels on day-to-day matters.
* Able to pay close attention to detail in written and electronic communication and information storage
* Experience in managing multiple tasks and prioritising workload to match management objectives
* Good analytical skills
* Good organisational skills


Knowledge

* Experience of customer service or dealing with general public
* Experience of working as part of a team
* Knowledge of GDPR and it’s application
* Knowledge of equality and diversity issues and their impact on the work within recruitment


Additional

* Speak English to an appropriate standard relevant to their role, i.e. with confidence and accuracy, using correct sentence structures and vocabulary, and without hesitation.
