Overview
The Compliance Administrator is responsible for maintaining the compliance monitoring system, ensuring asset certification is up-to-date and accurate, monitoring mailboxes for incoming data, and managing remedial tasks and documentation.
Responsibilities
* Maintain all parts of the compliance monitoring system and keep asset certification up to date.
* Monitor the CAFM system and mailboxes, verify and correctly load compliance and certificate documentation onto the system.
* Identify and prioritize remedial tasks, tests and assessments, ensuring priority timescales are met.
* Monitor organisational compliance with regulations and internal policies.
* Input certification and relevant documentation into local drives and CAFM with high attention to detail.
* Upload and validate documentation to the correct PPM.
* Communicate with suppliers, chase replacements for unsuitable documentation and request supporting documentation for remedial actions.
* Create remedial actions as associated tasks, assign priority and due dates, and upload completed certifications to child tasks.
* Clear items from the compliance mailbox into correct folders to meet client SLAs.
* Perform regular audits and systematic reviews of previous documentation, correcting details when required.
* Conduct gap analysis of system data to improve client compliance and reporting accuracy.
* Follow the weekly rota set by the Compliance Manager.
* Engage with Regional Property Managers to resolve queries and meet client requests regarding PPMs.
* Coordinate with Supply Chain to ensure adherence to SLAs and compliance standards.
* Support the Customer Service Centre Advisors in taking calls when needed.
Qualifications
Desired Knowledge, Skills and Experience
* Working knowledge of Microsoft Office (Word, Excel, PowerPoint).
* High accuracy and attention to detail.
* Ability to load data accurately, interpret information, and classify it per guidelines.
* Strong analytical skills with ability to present findings graphically, tabularly, and in reports.
* Excellent organisational skills and ability to meet tight deadlines.
* Effective communication skills; familiarity with Microsoft Packages, CAFM, and reporting software.
* Computer literacy.
* Knowledge of FM compliance and HSE legislation desirable.
* Minimum 12 months of experience in a compliance or related Service Centre role.
* Fast‑paced environment experience and office administration/data entry experience advantageous.
* IOSH qualification desirable.
