Key Responsibilities:
1. Provide effective leadership and management to the reception/office team, ensuring effective communication, teamwork, and service delivery.
2. Oversee and coordinate the workload of the office, ensuring that systems and processes are in place to manage:
- Patient engagement (face-to-face, telephone & email).
- Effective general practice operations.
- Repeat prescription processes.
- Complaint handling and resolution in line with practice policies.
- Subject access requests (SARs) and information governance compliance.
3. Manage non-clinical staff rotas, line management duties, annual leave planning, and absence cover to always ensure adequate staffing levels.
4. Support the recruitment, induction, training, and ongoing development of non-clinical team members.
5. Monitor performance, carry out appraisals, and provide feedback and guidance to ensure high standards of professionalism and service.
6. Implement and maintain effective practice systems to ensure compliance with NHS and practice policies, including confidentiality, data protection, and health & safety.
7. Work with the Practice Manager and GP Partners to identify and implement service improvements, new technologies, and changes to practice procedures.
8. Act as the first point of escalation for non-clinical staff concerns, patient complaints, and general operational issues.
9. Maintain accurate records and reports to support practice management decision-making.
10. Represent the practice leadership team positively and professionally in all interactions with patients, staff, and other NHS representatives.
