Operations Scheduler
Tunbridge Wells | Full-time, Permanent | 40 hours per week (Mon-Fri, 8:30am-5:30pm)

Due to company expansion our client is seeking a proactive and highly organised Operations Scheduler to join our friendly team.
You will work alongside another scheduler, within a busy team and report directly to the office management team, and play a key role in managing a large client portfolio while coordinating both PPM and reactive service visits. The scheduling team consists of 4 schedulers overseeing aover 40 engineers across London and the South East.
This is a fast-paced role requiring flexibility, adaptability, and a passion for delivering outstanding customer service!
What does the role involve?

Plan and manage monthly schedules for engineers across London and the South East.

Proactively schedule routine visits in line with contract frequency, ensuring efficiency in route planning and access times.

Monitor completion of visits, ensuring deadlines are met and no visits are missed.
*
Coordinate larger ad-hoc works as required.
*
Regularly update the management team on service delivery and potential issues.
*
Maintain excellent communication with clients, engineers, and internal teams.
*
Work with the service team to create action plans and highlight sites of concern.
*
Send quotations for chargeable visits/treatments.
*
Manage client complaints, taking ownership of issues while escalating when necessary.
On-Call (1 in 9 weeks rotation)

Monitor out-of-hours emails.
*
Forward urgent callouts to the on-call technician and management team.
*
Non-urgent queries can be handled when the office reopens.
*
All on-call duties can be carried out via mobile phone (no laptop or office attendance required).
What skills do you require?

Minimum 2 years' experience in a similar scheduling/job allocation/planned maintenance role.

Excellent communication skills and confident telephone manner.
*
Ability to remain calm and professional with both clients and engineers.
*
Strong organisational and multitasking skills.
*
Comfortable working in a fast-paced, high-pressure environment.
*
Proactive, adaptable, and able to think "outside the box."
*
Strong problem-solving skills and ability to work on own initiative.
