About Us
Woodcock Law & Notary Public, established in 2019, provides legal and notarial services across London, Sheffield, and Manchester. We are seeking a proactive and client-focused professional to join our Sheffield office in a combined Office Administrator & Client Services Coordinator role.
This role combines client relationship management with an understanding of notarial procedures, ensuring clients receive accurate, compliant, and timely document authentication. Knowledge in the legal/notary sector is preferred but not essential as full training will be provided.

Key Responsibilities
* Manage administrative tasks.
* Handle inbound calls, emails, and live chat, converting enquiries into confirmed appointments.
* Maintain diaries and coordinate in-office and mobile appointments.
* Provide clients with clear guidance on documentation, procedures, and costs.
* Prepare and issue confirmation emails, client care letters, and invoices.
* Process payments, post, and courier orders, ensuring records are accurate and up to date.
* Collaborate with notaries to ensure smooth client handovers and service.
* Build and maintain client relationships to encourage repeat business.
* Perform accurate data entry, including logging incoming payments and client details.
* Scan, print, and process incoming and outgoing post.
Skills & Qualifications
* Office administration and/or client services experience.
* Strong communication skills, written and verbal.
* Proficiency in Microsoft Office and Google Workspace.
* Excellent organisation and attention to detail.
* Ability to work under pressure and to deadlines.
* Experience with call handling or CRM systems is an advantage.
* Legal/notarial sector knowledge desirable (training provided).
Requirements
* GCSE or equivalent (preferred).
* English (required).
* UK work authorisation (required).
