Job Title: Management Team Coordinator
Location: Durrington/ Falmer- Hybrid- Driving licence essential

Salary: Circa £31,000 per annum
About the role
We’re looking for a highly organised, resilient, and proactive Management Team Coordinator to join our Wastewater Operations directorate. This is a fast‑paced, varied, and highly visible role, providing critical support to the Director and wider leadership team in a reactive operational environment.
You’ll act as a central coordination point for high‑priority activity, managing complex diaries, communications from senior external stakeholders, and last‑minute operational demands, while also supporting planned activity such as events, strategy days, and PR‑related work. This role offers excellent exposure across Southern Water and is a great opportunity to develop a broad understanding of how the business operates.
Key responsibilities
1. Act as a first point of contact for high‑volume, high‑priority communications, including: MP and local council correspondenceMedia and communications teamsEnvironment Agency and external regulatorsCustomer and community stakeholdersExternal environmental groups and charities
2. Coordinate incoming correspondence from senior external bodies, ensuring information is logged, tracked, prioritised, and responded to appropriately.
3. Support the Director in managing expectations, filtering requests, and delegating actions in line with availability and priorities.
4. Plan and manage complex diaries, travel, and meetings (virtual and face‑to‑face), including: Site visits and attendance trackingTravel and accommodation bookings (including Isle of Wight visits)Liaising with operational sites and teams
5. Organise large internal events such as training days and strategy sessions, ensuring all logistics are covered (venues, H&S, dietary requirements, finance approvals etc).
6. Support reactive incident‑driven activity alongside proactive work, such as briefing coordination, PR planning, and structured weekly planning.
7. Hold regular planning sessions with the Director to structure weekly priorities and manage incoming work.
8. Build strong working relationships across multiple directorates and coordinate effectively with a wider network of Management Team Coordinators, sharing best practice.

10. Resourceful and adaptable, able to think on your feet and find creative solutions to complex or last‑minute challenges.
11. Confident communicator, comfortable handling sensitive or high‑profile information and liaising with senior stakeholders.
12. Resilient and calm under pressure, with experience managing fluctuating workloads and short deadlines.
13. Strong interpersonal skills, with the ability to build trusted relationships across a large, complex organisation.
Desirable
14. Experience in a coordination, PA, executive support, or operational support role is desirable.
15. An understanding of organisational structures and how large functions operate would be advantageous.
