First Contact Administrator (Careers Jobshop)

Join us as a First Contact Administrator within the Student Jobshop and First Contact team, part of the Careers & employability Service within Student & Academic Services.


Pay Range

Salary: £25,249 - £26,707

Employment details

Grade: 4
Work arrangement: Part‑time 0.8 FTE Monday to Thursday
Duration: Start ASAP – Fixed term contract until 7th August 2026
Line manager: Jobshop Agency Coordinator

Location: Sheffield, England, United Kingdom (Students’ Union)


Responsibilities

* Provide administrative support to the Student Jobshop.
* Deliver excellent customer service and front‑line services to staff, students and key stakeholders; responding to enquiries efficiently, friendly and professionally.
* Process student worker registrations, adhering to legal and best‑practice guidelines for agency provision.
* Carry out right‑to‑work and compliance checks for student workers.
* Assist in generating part‑time work with local employers.
* Produce management information relevant to the service as required.
* Use, monitor and maintain specialist/technical systems to manage vacancies, and student worker records, including archiving.
* Give demonstrations to others on how to use systems.
* Provide operational support for planning, organising, delivering and staffing key projects/events (may include occasional out‑of‑hours work).
* Carry out small projects as and when required.
* Carry out other duties commensurate with the grade and remit of the post.


Person Specification

Essential Criteria

* Education to A-level standard/equivalent, or recent relevant work experience.
* Excellent interpersonal skills, including the ability to quickly establish effective relationships and diagnose the needs of a variety of stakeholders.
* Effective customer service and communication skills, both written and verbal, and the ability to liaise with diverse groups and respond efficiently via a range of contact methods.
* Experience of handling data accurately and efficiently with high attention to detail and confidentiality.
* Ability to multi‑task and prioritise accordingly.
* Experience of working independently, without supervision, as well as part of a team in a busy working environment.
* Proficiency with Microsoft Office or Google Suite software, database navigation, and email management.
* Experience of working in a recruitment/HR environment, dealing with a large number of vacancies and right‑to‑work checks.


Desirable Criteria

* Knowledge and understanding of current employment legislation.
* Knowledge and understanding of the local employment market.
