Role Purpose The primary purpose of the role is to provide operational assistance and support to the CEO and wider Executive team. This in order that they can focus on the smooth running of key projects, deliverables and the wider organisation. Responsibilities This is a wide ranging role which has a strong focus on co-ordination and operational delivery as well as working with confidential information. The successful candidate will be an excellent relationship manager who is able to build rapport quickly. Co-ordination Working with key leaders to ensure that their time is managed effectively. Primary locations requiring co-ordination are in the UK and USA. Scheduling and diary/meeting management, taking minutes at key meetings as required and updating all relevant material to ensure alignment. Co-ordination of multiple tasks and initiatives to tight timelines, following up with relevant stakeholders to ensure deadlines are met. Production of high quality, polished content and materials. Managing trackers and spreadsheets. Operations Financial processing and reporting on operational expenditure as required. Responsible for all travel booking and management. Expenses processing and management. Data management, including providing operational support to compliance and control projects. Wider As required manage ‘front of house’ operations, including welcoming visitors, ordering food and working with Facilities to ensure smooth running of the site. All aspects of event management from planning to execution. Managing suppliers. Pro-actively look for patterns, trends or issues as you work across different teams and departments. Requirements Experience Required Working in a fast paced, delivery focussed organisation. Proven experience of strong administrative and operational delivery. Experience of supporting multiple Executives and how to balance such demands whilst ensuring primary focus on the CEO. Experienced working in teams with competing demands for time and resources and working out how to make it all come together. Highly competent in use of MS Office suite. Strong in formatting experience and comfortable preparing letters and papers for review. Experience of working with a CEO before is highly desirable in order to understand the demands on their particular role. Experience of working in Life Sciences and with highly technical colleagues would be desirable. Profile Required Focussed individual with a passion for delivery.
