Operations Assistant

We’re seeking a proactive, detail-oriented Operations Assistant to join our dynamic team at Renfold Ltd, supporting our expanding FOB wholesale operations. This role offers an excellent opportunity to ensure the smooth movement of stock from our global suppliers to retail customers under FOB (Free on Board) terms.

As Operations Assistant, you will collaborate closely with our buying team and report directly to the Head of Operations. Your responsibilities include managing logistical wholesale order flows, coordinating with global suppliers and freight agents, and maintaining effective communication with internal and external teams. Your role is crucial to ensuring a seamless end-to-end wholesale FOB delivery process.

Key Responsibilities:

* Retrieve FOB wholesale orders from retail customers and input them into the ERP system.
* Assign wholesale PO numbers to suppliers and ensure accurate data entry.
* Serve as the main contact for supplier logistics and system inquiries.
* Coordinate with customer logistics teams for timely goods handover at origin.
* Prepare and submit shipment documentation for customs clearance.
* Process stock invoicing in the ERP system upon handover to freight agents.
* Work closely with buying and product teams to monitor critical timelines and update as needed.
* Create purchase orders for suppliers and ensure proper documentation flow.
* Provide weekly reports on customer POs missing vs. production files.

Skills Required:

* Strong Excel skills and high data accuracy; comfortable with various software tools.
* Excellent communication skills with a confident, clear approach to cross-functional collaboration.
* Organized, self-motivated, and capable of managing multiple tasks in a fast-paced environment.
* Proactive problem-solver with a hands-on approach to operational challenges.
* Ability to adapt in a growing, evolving business with shifting priorities.
* Experience in process or systems improvement is a plus.
