About the Role
The executive assistant will provide high level support to the Managing Director and Design Team, ensuring smooth day to day operations and enabling the team to perform at their best.
The role requires a highly organised, proactive individual who can efficiently manage the calendars of the MD and Design Team, optimising their time and ensuring seamless coordination with client requirements. It combines front-of-house retail management with core administrative responsibilities - ideal for someone who thrives in a fast-paced, design-led environment and enjoys variety in their day to day work.
The successful candidate will be an experienced, highly collaborative administrator, who communicates well and builds strong working relationships at all levels of the business.
Responsibilities
* Act as the first point of contact for all in-store customers, delivering a warm, professional customer experience.
* Replenish stock in store and follow creative direction of the head buyer.
* Maintain the presentation and cleanliness of the shop, ensuring it is always visually aligned with brand standards.
* Calendar and schedule management - coordination and management of the MD and Design teams calendars, including scheduling client visits and any associated admin.
* Manage the studio and shop diary, including appointments, meetings and installations.
* Handle all invoicing and purchase orders.
* Manage stock levels - ordering, receiving and tracing inventory to ensure availability and organisation.
* Book travel and accommodation for the team as required.
* Support the planning and coordination of events, launches and client presentations.
* Provide ad hoc to the Design team as needed
* Liaise with suppliers regarding stock availability, lead times, deliveries and order issues.
* Receive and check deliveries, ensuring goods are logged and stored correctly.
* Assist with social media content - capturing behind the scenes moments, posting occasional updates and engaging with followers as needed.
Required Skills & Experience
We're looking for someone with a mix of retail, admin and coordination experience who's ready to take ownership of this busy broad ranging role. The ideal candidate will have
* 2+ years experience in a customer facing retail or showroom environment
* A proactive, solutions focused attitude with excellent organisational skills
* Familiarity with stock control and liaising with suppliers.
* Confidence in handling invoicing and purchase orders.
* Proven experience managing diaries, bookings and general office admin.
* Experience arranging domestic and international travel, including transport, accommodation and itinerary coordination.
* Comfortable using microsoft office.
* A keen eye for design and visual presentation.
* Highly organised.
