Responsibilities
* Provide comprehensive administrative support to the Managing Director, including calendar management and prioritisation, scheduling meetings, and making travel arrangements, including coordinating the activities of the Company Driver.
* Act as a liaison between the MD and internal/external stakeholders, managing calls, emails and correspondence, and prioritising requests effectively.
* Produce, format and proofread confidential emails, letters, reports and other business documents for the MD, ensuring they are completed to a high standard and filed appropriately.
* Organise, set reminders and attend meetings, prepare agendas, take minutes and follow up on action points.
* Coordinate complex travel plans, including flights, accommodation and itineraries for the MD and other Senior Leadership Team Members as needed.
* Handle sensitive and confidential information with discretion, ensuring that business matters are conducted with professionalism and integrity.
* Manage office supplies, handle mail and ensure the office space for the MD is organised and maintained to a high standard.
* Provide ad‑hoc support on specific projects or initiatives as requested by the MD, helping to streamline workflows and ensure deadlines are met.
* Assist in organising company events and conferences hosted by the MD or JW Lees, including liaising with venues, producing invitations and representing the company on occasion as required.
Qualifications
* Proven experience as a Personal Assistant, Executive Assistant or in a similar administrative role.
* Strong organisational skills with the ability to manage multiple priorities in a fast‑paced environment.
* Excellent verbal and written communication skills, including superb grammar.
* Proficient IT skills, including but not limited to: Microsoft Word, Excel, PowerPoint, Outlook and other internal company systems.
* Strong attention to detail and ability to maintain high standards of accuracy.
* Ability to handle sensitive information with discretion and confidentiality.
* Strong problem‑solving abilities and a proactive approach to tasks.
* Exceptional time management and multitasking skills.
* Flexible and adaptable, with the ability to work independently and as part of a team.
