Common Story is an award-winning next-generation storytelling company based in the West Midlands, creating bold, human-centred content for children and young audiences. Our work combines storytelling, learning and play - creating programmes that entertain while helping children grow in confidence, curiosity and imagination. Building on our I CAN brand for CBeebies (I Can Do It You Can Too and I Can Grow It), we are now in production on a new I CAN series exploring children's relationship with food through sensory play and curiosity for ages 3-6.
THE ROLE
We're looking for a Production Secretary to support the production office during prep and then move with the team onto location for filming. You'll be part of a small, busy team, helping keep things organised and ensuring information flows smoothly across departments. It's a practical, hands-on role suited to someone who is calm under pressure, reliable, and comfortable juggling a varied workload. This role involves handling sensitive production information, including contributor and crew data, and working in line with safeguarding procedures for children. Provisional start date 18th May for 20 weeks. This is a hybrid role, with a minimum of three days per week based in our Leamington Spa office. Location filming will take place in the West Midlands.
KEY RESPONSIBILITIES
Prep (office-based): Day-to-day production admin support Keeping contact lists and schedules up to date Supporting JPM with call sheets and production paperwork Booking travel, accommodation and logistics Organising location catering Collecting crew and contributor paperwork, ensuring accuracy and confidentiality Handling sensitive data in line with production data protection procedures Keeping on top of office supplies and admin systems Reconciling expenses and float receipts Supporting Albert carbon tracking and reporting Filming (location-based): Acting as a key contact for the production office on location Sending out daily paperwork to cast and crew Managing sign-in/out for fire safety records Supporting safeguarding procedures, including check-ins with child contributors' parents/guardians Ensuring contributor welfare processes are followed and escalated appropriately when needed Organising travel for talent and contributors where required Supporting catering alongside the runner Passing information between departments Helping with timesheets and general crew admin Occasionally delivering rushes to the post house in Birmingham if required
SKILLS & EXPERIENCE
Essential Experience in a production office (runner, PA or similar) Strong organisation and attention to detail Clear, straightforward communication Able to stay calm when things are busy Happy to get stuck in and help wherever needed Basic understanding of how a TV production office works Comfortable asking questions when something isn't clear and seeking support when needed Awareness of confidentiality, data sensitivity, and safeguarding in a production environment Based in the Midlands Desirable Experience on a children's production or working with children Full UK driving licence Familiarity with production paperwork and Microsoft 365 Previous experience with the child licensing process would be an advantage, though training can be provided for the right candidate
