The Role
This isn't your typical operations role.
As our Operations Executive, you'll own the operational infrastructure that powers a lean, high-performing recruitment business.
You will work at the intersection of technology, process, and service delivery, making sure our internal systems run smoothly, our tools are working hard for us, and our platform keeps evolving.
You will play a hands‑on role in shaping how we work, identifying smarter ways to do things, and helping build the operational backbone that sets Umbilical apart from the competition.
What You'll Be Doing
Managing and optimising our internal systems, processes, and operational workflows to support day‑to‑day business delivery.
Administering and improving our CRM platform to ensure data quality, usability, and performance across the team.
Exploring and implementing technology solutions – including AI tools, chatbots, LLM‑powered workflows, and automation – to improve speed, efficiency and service quality.
Supporting the development of Umbilical's delivery platform, ensuring we can move quickly and effectively for our clients.
Identifying gaps, inefficiencies and opportunities across operations and taking the initiative to fix them.
Working closely with the team to ensure technology and process changes are adopted smoothly and deliver real impact.
Contributing to reporting, compliance, and operational governance as the business grows.
What We're Looking For
A genuine interest in technology and how it can be used to transform small businesses operations.
Awareness of AI tools and trends, including AI chatbots, large language models (LLMs), and workflow automation.
Experience with CRM systems, ideally within recruitment (Bullhorn experience is a strong plus).
A self‑starter mindset, you don't wait to be told what needs doing, you spot it and get on with it.
Curiosity and drive to learn, experiment and continuously improve how things work.
Strong organisational skills and the ability to manage multiple priorities in a fast‑paced environment.
Clear communication skills and the confidence to work across all levels of a small team.
