Overview
Volunteer Treasurer, Friends for Life Bedfordshire | Friends for Life Bedfordshire
Friends for Life provides a unique befriending service to enrich the lives of lonely, socially isolated residents in Bedford’s care homes. We are seeking a committed and suitably experienced individual to join us as our treasurer.
What difference will you make?
Our charity offers a unique service that makes a real difference to the well-being of some of the most vulnerable members of our community, tackling social isolation and strengthening community links. As treasurer, you will play a vital role in maintaining effective oversight of the charity’s finances, ensuring that we make best use of our financial resources, and helping to ensure long-term sustainability as we grow our reach and impact. You’ll also be actively involved in updating our financial systems and processes, with the opportunity for you to shape how the treasurer role is delivered and improve the effectiveness of the service provided.
What are we looking for?
We are looking for someone who
* Is willing to make a long term commitment to the role (a minimum of three years), and has the time required to fulfil the responsibilities.
* Has previous experience in a financial role - for example you might have been involved in managing a budget, working with financial reports, or in a role where financial record-keeping or reporting was part of your responsibilities
* Has experience using modern accounting software packages
* Can demonstrate a high level of personal integrity and judgement, including the ability to take responsibility for significant areas of work and deliver to deadlines
* Can demonstrate accuracy and attention to detail, and has an aptitude for working with numbers
* Is confident working with the staff team and with the Board, for example presenting financial reports to the Board and advising on financial implications of Board decisions
* Is able to follow and apply the key rules, policies and procedures that govern how we manage and report on our finances
* Has access to their own IT equipment, and relevant IT skills
* Alongside these essential criteria, if you have more in depth experience relevant to the role then that would also be particularly welcome (although not essential).
For example, you may have additional experience in bookkeeping, preparation of charity accounts, policy development, or involvement in board decision-making or strategic functions. While the role can be done remotely, it would be an advantage if you were within reasonable travelling distance of Bedford. The Board has a mix of online and face to face meetings, and an ability to attend both would be helpful.
What will you be doing?
The key responsibilities of the role include:
* Delivery of all day-to-day financial duties, such as book-keeping, budgeting, preparation of reports, settling invoices and payment of staff and volunteer expenses.
* Oversight of the charity’s bank account, maintaining accurate records of all transactions and regular reconciliation of all accounts.
* Setting up online monthly staff salary payments, and sending monthly staff PAYE and NIC deductions to HMRC.
* Claiming gift aid from HMRC, and submitting a corporation tax return as required.
* Presenting monthly financial reports to the board in a format that helps the board understand the charity’s financial position.
* Preparing the annual accounts in accordance with the SORP guidelines and overseeing their independent examination.
* Submitting annual accounts, reports and returns to the Charity Commission and Companies House.
* Maintaining Trustee/Director records on the Charity Commission and Companies House portals.
* Providing financial data to the FFL Fundraising Lead in support of grant applications.
* Keeping up to date with relevant changes to Charity Commission and Companies House requirements, and working with the Chair and the Board to ensure compliance.
* We will be moving from excel workbooks to a modern accounting software package in the near future. This should significantly streamline the work currently involved in delivering a number of these responsibilities.
* You will attend meetings of the Board (monthly), and of the sub-committee leading on finance (quarterly). Meetings usually take place in the evenings, with a 6pm or 7pm start.
