Contracts and Procurement Manager
Invictus Games Birmingham 2027 is a charity and delivery organisation for the 2027 Invictus Games at the NEC Birmingham; with a comprehensive strategic and collaborative programme of impact & legacy activities rolled out from summer 2025.
Our Games will bring together around 550 Wounded, Injured and Sick Serving Personnel, Veterans and families from 25+ Nations; supporting their recovery journeys and celebrating resilience, community and the unconquered human spirit.
Role Description
The Contracts and Procurement Manager, under the direction of the CEO and in close collaboration with the Director's team (including the Finance Director), is responsible for the overall planning, management, and effective delivery of all procurement and contract management activities for Invictus UK 2027. This includes ensuring commercial viability, legal compliance, and that all key relationships with suppliers, sponsors, and donors are managed effectively. The Invictus Games Birmingham will implement an efficient and innovative delivery model, and the Contracts and Procurement Manager will be required to take a proactive and strategic approach to managing the organisation's commercial agreements.
We are looking for an exceptional individual who has significant experience in managing complex procurement processes and contract lifecycles within dynamic environments. Knowledge of UK procurement legislation and a strong understanding of due diligence are essential; along with recent experience of managing complex procurement processes and contract lifecycles safely, on time, and on budget.

We are looking for an exceptional individual who has significant experience in procurement and contract management, ideally within major event delivery or a similar complex project environment. A deep understanding of UK procurement legislation and the specific needs of a not-for-profit organisation delivering a high-profile event is highly desirable.
Key Responsibilities
* Leadership & Strategy:
* Oversee all key functional areas related to procurement and contract management.
* Drive integration between procurement and contract management activities with other Games functional areas (e.g., Operations, Medical, Accommodation, Transport, Sport) and key suppliers.
* Provide professional advice and support to the organisation on all procurement activities, ensuring contracts are commercially viable and legally compliant.
* Stakeholder Management:
* Build and maintain strong relationships with key stakeholders, including internal delivery teams, suppliers, sponsors, donors, and external legal advisors.
* Provide reporting and strategic guidance to the CEO and Board on all aspects of procurement and contract management.
* Liaise with colleagues across the organisation to track and report outcomes and KPIs against contract delivery.
* Procurement & Contract Planning and Delivery:
* Have oversight of all procurement activities, maintaining a robust procurement database including detailed records of processes and outcomes.
* Act as the internal resource for procurement activities, working with colleagues to help develop clear service specifications and Invitations to Tender (ITTs), and managing the process from tender to contract completion.
* Manage the end-to-end contract drafting and issuing processes, including working with external legal advisors where necessary.
* Manage the entire lifecycle of contracts, from initial drafting to final execution, including tracking changes, amendments, and renewals.
* Ensure that all contracts comply with applicable laws, regulations, and company policies.
* Identify and assess potential risks associated with contracts and develop strategies to mitigate those risks.
* Be responsible for the procurement activities section of the monthly management accounts and update it in accordance with the month-end timetable.
* Undertake thorough due diligence activities on suppliers and on donor and sponsor income.
* Manage supplier relationships to ensure optimal performance and value.
* Undertake other activities as may be reasonably required.
Profile
* A track record in managing and motivating cross-functional teams and collaborating effectively with internal stakeholders.
* Flexible and innovative approach to contract and procurement operations, with an ability to drive efficiencies.
* Strategic decision-maker with a proven ability to lead complex contractual projects.
* Experience of building relationships with senior stakeholders, including suppliers, legal advisors, and reporting to/advising Boards.
* Experience of developing, managing, and reporting on large operational budgets, with a track record of driving efficiency and cost control.
* Significant experience of managing high-value contracts with suppliers and service providers, driving compliance with timelines and ensuring cost control.
* Proven ability to conduct and manage due diligence activities on suppliers, donors, and sponsors.
* MCIPS (Chartered Institute of Procurement & Supply) qualification or ability to demonstrate extensive equivalent experience.
* Strong knowledge of Contract Law or a relevant qualification in this area is highly desirable.
* Ability to manage and resolve unforeseen issues quickly and in a calm manner within a dynamic event environment.
* A passion for the Invictus Games movement, its mission, and event delivery.
