Job Description

To support essential administrative duties in a timely manner, contributing to a smooth-running office.

To support the recruitment process, delivering a positive candidate experience. This includes assisting with pre-employment checks, and onboarding, as well as general team support and general office admin support. Please note that we are looking for car drivers for this role.

The Role

1. Warmly greet visitors to the office, answer phone calls in a polite professional manner, passing on clear messages where appropriate.
2. Manage correspondence by responding to emails and handling incoming and outgoing post.
3. Maintain effective systems ensuring that all electronic filing and databases are kept up to date.
4. Support projects and IT initiatives where appropriate.
5. Support the Office Manager and Registered Managers with general office admin duties
6. Responsible for all aspects of office administration activities whilst being reactive to the needs of the business.
7. Assist the Recruitment Coordinator with recruitment-related enquiries, helping to provide a positive candidate experience from the initial call through to job offer.
8. Communicate with candidates to keep them updated throughout the interview process, offering support and answering queries where needed.
9. Help manage the Smart Recruiters Applicant Tracking System (ATS) by supporting the input and upkeep of accurate candidate data.
10. Support the processing of pre-employment checks and assist in gathering necessary documentation ahead of a candidate’s start date.
11. Provide general support to new care professionals during their first three months, helping them to feel welcomed and confident in their role.
12. Offer general administrative assistance to the team to ensure smooth day-to-day operations.
13. Take part in the out-of-hours on-call rota where required.
14. Support with care visits when necessary to help maintain service continuity and quality.
15. Carry out any other duties deemed necessary for the successful operation of the business.

Qualifications

Essential Criteria

17. Well-developed administration skills and proven experience in office administration within a busy office environment.
18. Previous experience in a customer-facing or front-of-house role, with a strong focus on delivering excellent customer service.
19. Flexibility to work outside 9–5 Monday to Friday to meet the demands of the business.
20. Strong interpersonal skills with the ability to build rapport quickly.
21. Excellent verbal and written communication skills.
22. Good working knowledge of IT systems, with experience of Microsoft Office or Google Suite, working with databases and virtual communication platforms, and the ability to learn and adopt new technologies where appropriate.
23. Excellent organisation and prioritisation skills, with the ability to work accurately under pressure and adapt to changing priorities.
24. Team player who is self-motivated, results driven, and resilient.

This is a part-time, on-site role, working 4 days a week with a requirement for flexibility to work weekends.
