CYP Receptionist/Administrator

The closing date is 27 April 2026.

We are looking for a reliable, organized and enthusiastic receptionist/administrator with a strong work ethic to join our committed Child & Young People (CYP) Services for 22.5 hours per week. The hours will ideally be worked on Tuesday, Wednesday and Thursday for our CAMHS team in Boston, with the post being based at The Johnson Hospital, Spalding. This is an office-based position and there may be a need to travel to a different base if required to support the needs of the service or to attend training. Mileage will be paid.

You will need to have proven customer service / reception experience and skills. You will contribute to the smooth and efficient running of the office, which includes typing and formatting of correspondence, and other data requirements using Word, Excel and clinical systems, as well as supporting and assisting with referrals processing. It is a busy reception role alongside providing office support so it is essential to possess strong communication and organisational skills as you will be dealing with a wide range of enquiries in a welcoming yet professional and sensitive manner, ensuring confidentiality at all times. You will be a key member of a friendly team and service.

Main duties of the job

* Act as a receptionist, answering the calls for the building and keeping the reception tidy.
* Diary management – organising, supporting and coordinating room booking requests.
* Organise and contact young people and families by telephone or letter to offer an appointment or cancel appointments if required.
* Type letters and correspondence using copy typing and Microsoft Word.
* Assist with data monitoring using housekeeping reports.
* Provide individual administration support as required.
* Liaise with internal and external providers.
* Data inputting.
* Navigate and update clinical systems and electronic databases – support with referral processing.
* Gather information.
* Petty cash and ordering of stationery.
* Support building management duties, reporting repairs and coordinating visits to the building.

Person Specification


Qualifications

* Good standard of education, including English.
* NVQ level 2 or equivalent qualification and/or experience.


Experience

* General office experience.
* Competent use of Microsoft Word and Excel.
* Letter formatting and typing letters.
* Data inputting.
* Outlook and diary management.
* Photocopying.
* Microsoft PowerPoint and Publisher.
* Managing other people's diaries.
* Reception.
* Managing office post.
* Use of clinical systems particularly Rio.
* Petty cash and office finance.


Skills

* Microsoft Office including Word and Excel.
* Typing to a good standard.
* General office skills including letter formatting.
* Dealing with difficult conversations and maintaining a professional telephone manner.
* Ability to work in a team and take direction from multiple sources.
