We have a current opportunity for a Team Administrator on a temp to perm basis. This role was initially released as a 6-month contract and will be based at their Aberdeen West End offices.
Responsibilities:
1. Provide general administrative support to management (below Executive level) and teams, including preparing presentations.
2. Support diary management for team leaders.
3. Maintain departmental spreadsheets and databases, including SharePoint.
4. Assist employees with business travel arrangements, including submitting expenses for Asset Managers.
5. Schedule meetings, book meeting rooms, and arrange catering as required.
6. Organize offsite meetings and book venues for team-building events.
7. Coordinate and order PPE for the team as needed.
8. Keep departmental distribution lists updated.
9. Raise service orders as required.
10. Book taxis for external meetings and offshore trips.
11. Arrange printing for work packs, business cards, and presentation materials.
12. Report external hospitality invitations via Gifts & Entertainment disclosure tool.
13. Review weekly travel reports using the travel agent spreadsheet.
Experience & Qualifications:
1. Experience providing administrative support to a team and senior management.
2. Ability to handle multiple tasks in a fast-paced environment.
3. Proficiency in Microsoft Office applications, especially Word, Excel, and PowerPoint.
4. Strong communication and interpersonal skills to engage with internal and external stakeholders at all levels.
