Older Adult Home Treatment Team

The Older Adult Home Treatment Team are seeking a dynamic individual to join the team to provide administrative support across the HTT service.

The post holder must be flexible as you will be working across the HTT service providing administrative duties as detailed below while working with a multi‑professional team.

Main duties of the job

* Provide a high standard of service to all colleagues, resulting in safe and effective treatments for service users & their families/carers.
* Upload documents to Rio, inform medics of new referrals once they have been triaged for assessment.
* Open referrals on Rio and add them to the team handover board.
* Request summary care records from general practitioners.
* Prepare SBARS for MDTs on Tuesdays.
* Answer the phone, take messages and redirect calls.
* Order medications from pharmacies.
* Arrange servicing of pool cars.
* Scan receipts and upload to banking portal.
* Book rooms for meetings.
* Maintain servicing of equipment.
* Take minutes of meetings.
* Order office and service equipment.
* Monitor referrals inbox.
* Prepare assessment packs.
* Send out invites to other professionals for meetings.
* Cover for medical secretary with additional duties when required.

Job responsibilities

* Gather appropriate information from a variety of sources to input accurately onto a database.
* Produce basic reports including graphs and tables as directed.
* Communicate sensitively with anyone entering the department, maintaining strict confidentiality standards.
* General administration duties including: answering phone, taking messages, dealing with enquiries, dealing with mail, photocopying, and assisting with effective dissemination of information.
* Type and produce letters, reports, faxes and e‑mails to an accepted standard of quality and accuracy as required.
* Make room bookings and maintain room booking diary.
* Assist in scheduling appointments and diary management using Microsoft calendar.
* Assist in stock control and electronic ordering of all office equipment and stationery, and subsequent electronic receipting of all received supplies.
* Assist in the proper functioning, maintenance and fault reporting of central equipment used by the team, e.g. photocopiers, fax machines, printers, computers.
* Record all data using the appropriate information system or manually where required, including data entry, word processing, scanning of documents for e‑noting and storage.
* Comply with and carry out safe practice in accordance with Trust policies and procedures, appropriate Codes of Conduct, the Mental Health Act (1983) and other relevant national and local guidance.
* File documents using the SharePoint system for storing, retrieving and filing information.
* Assist colleagues in setting up LIVE meetings to conduct remote meetings throughout the organisation where appropriate.
* Support the Trust’s vision to become paperless and encourage managers to do the same.
* Take key responsibility for the smooth running, coordination and management of Outpatients Clinics.
* Ensure that service users and visitors to the Community Mental Health Team are dealt with efficiently and in a friendly manner.


Person Specification


Qualifications

* NVQ level 2 Business and Administration or equivalent.
* ECDL or equivalent, including basic knowledge of all MS Office packages, including Microsoft Office calendar for diary management.
* GCSE in English, grades A‑C or grade 9‑4 or Level 2 Literacy or equivalent.


Experience

* Relevant experience of working in a general administrative background.


Skills

* Understand Code of Conduct in relation to Data Protection and Information Governance.
* Organise and plan straightforward activities relating to own workload on a day‑to‑day basis, adjusting workload in response to prevailing circumstances.
* Manage own activity within sphere of responsibility, accurately input confidential data onto a database.
* Minute‑taking skills.
