Office Manager, Exeter
£32,000 – £36,000 per annum; 40 hours per week, Monday – Friday.
Lead with precision. Support with purpose. Keep the heart of care organised.
We’re a small, family-run care home provider with a big heart. At the core of everything we do is a deep commitment to providing high-quality care – and we’re looking for an Office Manager to bring that same care and attention to the smooth running of our central office.
We’re looking for someone who’s part powerhouse, part people-person – someone who loves a good checklist, hates a messy inbox, and takes pride in keeping the wheels turning. You know someone who is organised, calm, and always one step ahead.
You’ll support the smooth running of our central operations – ensuring our care homes, leadership team, and admin teams are supported with structure, systems, and clarity.
It’s not just spreadsheets and schedules. It’s knowing that what you do directly supports the people who care for others every day.
What you’ll be doing:
* Reception & General Admin: Be the first point of contact – welcoming visitors, managing incoming calls, handling post, and keeping the front office warm and tidy. You’ll also provide ad hoc support to the MD and SLT, from organising meetings to taking notes and managing diaries.
* Ordering & Stock Management: Oversee central and group-wide stock orders, tracking deliveries and spending. You’ll ensure essential care items (like beds, mattresses, continence products) are monitored and replenished without waste.
* Supplier Oversight (excluding negotiation): Keep track of supplier contracts and monitor service levels (e.g., medication, phones, waste services). You’ll maintain a central log and prompt senior leaders when reviews or renewals are due.
* Data Maintenance: Maintain and cleanse key records, including training data (Mentor), Right to Work documents, Care Skills compliance, and energy usage reporting (ESOS). Accuracy and attention to detail are key here.
* Compliance & Systems Support: Support the roll-out of key systems such as the new resident contract and DSPT submissions. You’ll also liaise with IT support for equipment setup, logins, and basic troubleshooting.
* Teamwide Coordination: Help keep the central office team functioning smoothly – balancing structure with flexibility and responding calmly to shifting priorities.
Who you are:
* Experienced in office management or senior admin roles – ideally in a fast-paced people-centred industry.
* Strong organisational and multi-tasking skills – you’re the kind of person who loves a to-do list
* Warm, confident communication skills – whether it’s on the phone, over email, or in person
* A keen eye for detail and a high standard of accuracy – you notice the little things and care about getting them right.
* Highly organised, proactive, and able to juggle competing priorities with calm confidence.
* Tech-savvy and confident with systems
* Discreet and trustworthy – you handle sensitive information with care and professionalism.
* Love being the steady hand in a sometimes-hectic environment
* A friendly, professional attitude – you’re often the first impression people get of us, and you represent our values proudly
What we offer:
* A vital role at the heart of a care organisation that truly values its people.
* A warm, supportive team and a leadership culture that listens.
* Real autonomy, variety and trust to shape the way our office operates.
* A working environment where your attention to detail, kindness, and initiative genuinely make a difference every single day
You’ll help hold it all together -So our care homes can focus on what they do best: caring for others. If you’re a highly organised, people-focused professional who takes pride in keeping things running smoothly and are looking for a role where you can grow, stay busy, and feel part of something meaningful – we’d love to meet you.
